Mechanical, Electrical HVAC Project Coordinator

Overview

We are seeking an experienced Mechanical Electrical HVAC Project Coordinator with proven experience in commercial HVAC and mechanical services projects.

This role focuses on estimating the electrical, controls and Building Management System (BMS) components of mechanical services installations. Applicants must be able to independently review HVAC mechanical drawings, electrical and controls documentation, prepare detailed take-offs, identify scope gaps and develop accurate quotations for commercial projects.

Experience working with an HVAC contractor, mechanical electrical contractor, BMS integrator or mechanical services company is essential.

Schedule:

• Monday - Friday, 8:00 AM - 5:00 PM Sydney Time, with 1 hour unpaid break (40 work hours per week)

Responsibilities:

Estimating & Technical Review

• Review HVAC mechanical, electrical and controls drawings, specifications and equipment schedules.
• Prepare accurate take-offs, quotations and tender submissions for HVAC electrical, controls and BMS works while identifying scope gaps, design risks and coordination issues.

Project Coordination & Procurement

• Coordinate supplier quotations, procurement, project documentation, RFIs, variations and drawing registers while supporting Project Managers throughout project delivery and commissioning.

Project Systems & Continuous Improvement

• Maintain estimating and project records using project management software (Simpro experience is advantageous) and contribute to improving estimating workflows, digital processes and AI-assisted automation where appropriate.

Requirements

• Proven experience with an HVAC contractor, mechanical electrical contractor, BMS/Controls company or mechanical services estimating team.
• Demonstrated experience estimating commercial HVAC electrical, controls and BMS works.
• Ability to independently interpret HVAC mechanical plans, electrical drawings, controls schematics and equipment schedules to prepare accurate take-offs and quotations.
• Strong understanding of HVAC electrical systems, control wiring, BMS, switchboards and field control devices.
• Experience identifying scope gaps, exclusions, trade interfaces and tender risks.
• Procurement, supplier coordination and commercial construction experience.
• Proficiency with estimating or project management software and Microsoft Office.

Nice to have: (Experience)

• Experience with Simpro, Australian Standards and the NCC, healthcare, education or government projects, SharePoint, Xero, Power Automate and AI-assisted workflows (e.g. ChatGPT or Microsoft Copilot) will be highly regarded

Ideal candidate

You have hands-on experience delivering commercial HVAC and mechanical services projects and understand the electrical, controls and BMS scope associated with mechanical installations. You can confidently review HVAC mechanical drawings, electrical layouts and controls documentation to prepare accurate estimates, identify project risks and support successful project delivery from tender through to completion.
