Handles the creation, validation, update, extension, reactivation and/or deactivation of suppliers and customers for Noble Drilling through the Case Management Tool (CMT) in IFS.
Responsibilities:
This position has the following areas of responsibility:
· Processes and updates the supplier and customer master data based on the cases created from the CMT in IFS.
· Validates the bank details of suppliers through phone and email and ensures that all are correct and confirmed by the approved supplier contact and by the necessary supporting finance documents (i.e. invoice, company letterhead, W8/W9 forms).
· Requests suppliers to provide additional information using the company’s standard Vendor Information Form or Vendor Update form.
· Ensures and regularly monitors the correctness of data, most especially suppliers with supplier agreements and critical suppliers.
· Maintains the master data of the suppliers and customers in IFS following the master data governance rules and policies.
· Leads the master data team in projects/tasks related to the update and clean-up of master data.
· Coordinate directly with the vendor management team under Supply Chain for all concerns, feedback, instructions, etc., related to supplier and customer management in IFS.
· To function as one of the focal points for master data during meetings with other departments, i.e., finance, IT teams related to supplier or customer data.
Specific Duties Supplier Creation/Update
· Using the Case Management Tool in IFS, checks if all information provided by requester matches what is required and updates all other fields accordingly to migrate the data at a later stage. All data (i.e. bank details) needs to be validated with external websites and calling and emailing suppliers need to be done prior to approval of migration of data in IFS.
· Ensures that information provided in the CMT case are not yet existing in the system. Otherwise, they will approach the requester to check if there is still a need to create or update supplier.
· Ensures that all validation has been performed thoroughly before forwarding to the Vendor Management Team for final approval.
· Migrates and creates supplier based on provided information and ensures that all data are maintained correctly.
Supplier Extension/Reactivation/Deactivation
· Extends existing suppliers to companies that are not yet linked to enable supplier to be used for Request for Quotations or Purchase Orders.
· Deactivates suppliers in the system to block/ban use in the system or to prevent payments/invoices from coming in for processing.
· Reactivate suppliers for reuse after they have been previously blocked in the system.
· Monitors the list of suppliers that are deactivated or kept as one-time supplier and regularly check if existing POs or invoices for supplier are already closed.
Supplier Clean-up
· Leads the MDM team in projects involving clean-up of the master data especially obsolete and incorrect ones.
· Performs migration jobs alongside the MDM Data Analyst to run analysis and clean-up of existing fields in IFS.
Customer Creation/Update
· Creates or updates internal and external Customer data in IFS based on requests from SCM or Finance teams.
Supplier Catalogue
· Assists with the update and extension of catalogue prices of parts for suppliers with frame agreement/contracts in IFS
· Contacts suppliers to ensure that the supplier catalogue list is updated correctly and in a timely manner.

Competency
· A graduate BBA/Engineering with computer knowledge.
· At least 2-3 years’ experience in sourcing activity, handling supplier master data or general industrial supplier knowledge.
· Experience in working with/in ERP systems.
· Experience in understanding, supporting and troubleshooting general finance/master data issues. · Exceptional communication, organizational, and stakeholders management skills.
· Proficient in Microsoft Office, Excel, Word, Powerpoint, Visio and other MS related applications.
· Ability to manage multiple tasks in a fast-paced, deadline-driven environment.
· Experience in using SQL is a plus.
