As a Marketing Support Assistant, your role is to ensure the efficient organization, maintenance, and execution of marketing assets and photography operations. Key responsibilities include file and archive management, database and records maintenance, studio and equipment upkeep, photoshoot support, and administrative tracking of marketing projects. This role requires strong attention to detail, organizational and data management skills (including SharePoint), basic photography workflow awareness, and effective coordination and communication, along with a proactive and adaptable approach to supporting daily operations.
Key Responsibilities
1. Archive and File Management
· Maintain and organize all marketing files on SharePoint using designated folder structures and naming standards.
· File and organize digital photography archives immediately following internal and external shoots.
· Ensure all marketing assets remain systematically logged for quick retrieval by team members.
2. Database and Surface Records
· Perform regular maintenance and verification updates on the surface database.
· Identify and resolve database discrepancies including duplicate entries and incomplete text records.
· Track registered surfaces that lack images and coordinate activities to complete visual records.
3. Studio, Props, and Equipment Maintenance
· Manage the labelling, storage and physical condition of all photography props, backgrounds, and staging materials.
· Maintain an accurate inventory of photography equipment including cameras, lenses, lighting, and backdrops.
· Ensure the photography studio remains clean, organized, and functional for daily production.
· Coordinate equipment maintenance logs and draft prop procurement documentation for management review.
4. Photography and Shoot Support
· Assist with shoot day preparation including setting up backgrounds, staging props, and positioning materials.
· Conduct preliminary physical inspections of samples and props before photoshoots to verify readiness.
· Provide logistical support during both internal and external photography sessions.
· Manage post-shoot breakdown, inventory return, and studio tidying.
5. Administrative and Project Tracking Support
· Track the production and logistics status of marketing gifts and special promotional materials across work in progress, completed, and shipped stages.
· Assist with initial logistical coordination and scheduling for marketing events and external parties.
· Compile raw data for industry trends, consumer habits, and material research reports.
· Format basic presentation slides, images, and video files for internal review.
Requirements
· Preferably with a bachelor's degree in Marketing, Communications, or Multimedia Arts/Digital Media; relevant work experience in a marketing or administrative setting may be considered in lieu of a degree.
· At least 1 year of related work experience is an advantage; fresh graduates are encouraged to apply.
· High level of attention to detail regarding data entry, inventory logs, and administrative tracking.
· Proven experience organizing files within digital systems including SharePoint and OneDrive.
· Ability to work flexibly across multiple factory locations in Lapu-Lapu City.
· Strong communication and collaboration skills to coordinate effectively with local operations and the creative team in Europe.
· Proactive approach to handling routine tasks, updating schedules, and sharing progress reports
· Working knowledge in ISO 9001, ISO 14001 and ISO 45001 is beneficial.
