The Opportunity
We're hiring a Marketing Operations & Project Coordinator to bring structure, accountability, and follow-through to the lean marketing team of a fast-growing early childhood education and family services company scaling toward 16 locations and an expanding B2B business — someone who owns the operational layer of marketing end-to-end. You'll keep projects on track in Asana, maintain HubSpot hygiene and reporting, manage budget and expense tracking rhythms, and coordinate brand assets and recurring vendor workflows; spotting what's slipping before it becomes a problem, keeping data clean, and looking for ways to make repeatable work faster through smart use of AI and modern productivity tools. High EQ, discretion, and sound judgment are essential here — much of the data this role touches is sensitive, including customer and family information.
What Your Day-to-Day Will Look Like
- Project Management & Team Accountability: Own Asana day to day — maintaining boards, timelines, task owners, deadlines, and status updates; build and manage intake forms so cross-functional requests arrive with the right information; follow up with stakeholders, surface blockers, and flag missed deadlines in a friendly but firm way
- HubSpot Reporting & Hygiene: Maintain and improve existing HubSpot forms, landing pages, workflows, reports, and dashboards; deliver recurring performance reporting on a clear cadence tying marketing efforts to outcomes (e.g. event attribution, channel efficacy); keep HubSpot clean through QA, UTM tracking maintenance, list management, and campaign tagging; build and run surveys, pull results, and prepare summary reports that flag key insights and detractors
- Budget & Expense Operations: Track marketing budgets, paid media spend, and remaining allocations so the team always knows where it stands; support Ramp-based expense tracking and keep the team accountable to budget processes throughout the year
- Admin & Asset Coordination: Coordinate swag ordering, fulfillment, and recurring vendor follow-up; maintain the brand asset library across Google Suite and Canva — keeping approved templates, logos, and creative files organized, current, and accessible to the team
What You Bring
- Marketing Operations Experience: 2–3+ years in marketing operations, project coordination, CRM administration, or marketing project management — with hands-on HubSpot experience spanning reporting, dashboards, forms, workflows, lists, and CRM hygiene
- Project Management Proficiency: Proven project management experience in Asana, ClickUp, Monday.com, or a comparable platform; able to manage multiple stakeholders and deadlines simultaneously without dropping threads
- Data & Reporting Comfort: Comfortable working with marketing data, reports, dashboards, and budgets; able to turn raw data into clean, recurring summaries that help the team make decisions without having to ask
- Attention to Detail & Follow-Through: Strong QA instincts for links, forms, workflows, tags, and campaign setup; excellent follow-through and the confidence to hold others accountable without creating friction — friendly but firm
- Discretion & EQ: High emotional intelligence, sound judgment, and the professionalism to handle sensitive customer and family data with care; fluent in Google Workspace, Slack, Canva, and modern AI and productivity tools
Bonus Points if:
- You have experience in education, childcare, healthcare, family services, or another high-trust consumer category
- You have experience with Salesforce, WordPress, and/or survey tools
- You're a natural bar-raiser — you see a clunky process or template and rebuild it better, often by reaching for the right AI tool
