About This RoleWe're seeking an Operations Manager who can be the bridge between our leadership and day-to-day operations. You'll be stepping into a dynamic, fast-paced environment where we're actively building and refining systems. This isn't a maintenance mode role, you'll have the opportunity to shape processes, implement improvements, and help scale the business as we prepare for major client growth.
This position is critical: we need someone who can take ownership of operations so our leadership can focus on growth and strategic initiatives rather than being buried in onboarding questions and account maintenance.
What You'll Be Doing:- Own the entire client onboarding processfrom start to finish, ensuring smooth transitions and handling all documentation, communications, and coordination
- Conduct regular account health checksto proactively identify issues before they become problems checking lead flow, settings accuracy, and overall account performance
- Manage account reviews and client communications, including creating performance update videos (Loom) and reports
- Coordinate with team leads(admin and media buyers) to ensure seamless operations across the agency
- Handle technical troubleshootingfor platforms including Google Ads, Local Service Ads, WhatConverts, ClickUp, and Framer
- Make basic website updates and changesin WordPress as needed for clients
- Build and refine SOPsas the business evolves and new processes are implemented
- Implement and manage automation systemsto improve efficiency and reduce manual work
- Serve as the primary point of contactfor operational questions, freeing up leadership for strategic work
What We're Looking For:- Technical proficiencyacross digital marketing platforms, you should be comfortable as a power user of Google Ads, able to set up LSA accounts, navigate tracking platforms, and troubleshoot technical issues
- WordPress experiencefamiliar with making basic website changes and updates
- Prior agency experiencewith knowledge of SEO, Google Ads, and digital marketing operations, you should know the lingo and understand how agencies function
- Exceptional English communication skillsyou'll be interfacing with US-based clients via phone, email, and video, so clear, professional communication is essential
- Proactive problem-solverwho can identify issues, propose solutions, and implement improvements without constant direction
- Process-oriented mindsetwith experience creating or following SOPs and building scalable systems
- Comfortable with ambiguitywe're building things in real-time, so you need to be adaptable and solution-focused
Qualifications:- 2+ years of operations or account management experience in a digital marketing agency
- Strong working knowledge of Google Ads and digital advertising platforms
- WordPress experience with ability to make basic website updates
- Experience with project management tools (ClickUp experience is a plus)
- Familiarity with CRM systems, tracking platforms, and marketing automation tools
- Proven ability to manage multiple clients/accounts simultaneously
- Tech-savvy with ability to learn new platforms quickly (we're building custom tools on Retool)
- Excellent time management and organizational skills
- Bonus:Experience with Framer, High Level, WhatConverts, or similar platforms
