Job Description
Behind every smooth-running real estate team is someone making sure nothing falls through the cracks — the inbox that's always caught up, the calendar that's never double-booked, the lead that never goes cold because someone followed up on time.
We're looking for that person.
We're hiring a Management Associate to work directly under our Chief of Staff, supporting the daily operations of a fast-paced real estate team. This is a role built for someone who takes pride in precision, thrives on structure, and wants real ownership over how a business runs behind the scenes. Real estate experience is a plus, but not required — we're happy to train the right person.
- What you'll be doing: Communications & Calendar — Monitor inbox and messages at set daily check-ins, keep calendars airtight, and act as the first point of contact for client inquiries and scheduling (showings, meetings, house visits).
- Database & Lead Management — Own and organize multiple contact databases (vendors, leads, local and non-local realtors), keep the Lead Tracker current, and research new contacts using industry platforms like FastExpert and RealTrends.
- Listing & Marketing Support — Handle open house print logistics and assist with social media planning, including LinkedIn research and draft campaigns for Instagram and Facebook.
- Operational Collaboration — Submit completed work to the Chief of Staff for review, stay flexible as responsibilities evolve, and step in wherever the team needs support.
- What we're looking for:
- Strong organizational and time-management skills — comfortable working within strict, structured schedules
- High attention to detail, especially in data entry, CRM management, and calendar coordination
- Advanced Google Workspace skills (Docs, Sheets, Slides) — especially data cleaning and organization in Sheets
- Experience with AI productivity tools like Gemini AI to boost efficiency and support drafting
- Familiarity with LinkedIn, Instagram, and Facebook for research and light content development
- Excellent written and verbal communication
- A collaborative, ego-free approach — someone who welcomes feedback and thrives on shared accountability
- Proactive
- Ability to complete all tasks assigned in a timely manner
- Capable of analyzing and communicating data to ensure results are continuing to grow
- Excellent in strategizing and problem solving
- Prior experience working in the real estate industry IS A MUST
This role is ideal for someone early in their career who wants to build a strong foundation in real estate operations, or an experienced administrative professional looking for a role with real trust and growth potential.
- If you're organized, adaptable, and energized by being the person who keeps everything moving — we'd love to meet you.
