Position Summary
The Parts Logistics Team provides 24x7 logistics support in relation to different types of Vertiv power products ranging from 6 kVA up to 1MVA. The coordinator's main responsibility is to provide assistance to all Vertiv field technicians from finding the corresponding part needed in the field which involves order entry, parts research, parts quotations, inventory concerns, and shipment of parts making sure of safe and timely delivery. The coordinator may also be required to communicate with the planners and the manufacturing facilities to have the parts needed made available, whether parts need to be made or structured or to go directly to the supplier. Also, touch base with Liebert Engineering team and Technical Support Team for product support and escalations.
Job Responsibilities
- Receives order information from the customer and validate details (address, ship method, part number, quantity, etc.) in system tools such as Part Requirement Page, EBS Oracle and other support tools.
- Appropriate selection of shipping method in accordance to order priority.
- Process orders in EBS Oracle in a timely manner with 100% accuracy.
- Track order and validate shipment information of P1 Down Unit order via the Smartsheet Tracker and accurately utilizing the features.
- Tag the acknowledge and ship dates on all orders placed against manufacturing facilities.
- Notify back-order parts to planning team on orders that are not available to ship as of yet.
- Notify manufacturing plants on all orders by sending an email order notification.
- Notify LS warehouse on all down unit orders and same day shipping orders through call and email during normal operations, after-hours and system outage.
- Discuss to the customer the parts that are obsolete and superseded.
- Provide complete and precise formal parts quotation by utilizing the quoting tool via CPQ for all Spares parts quote requests.
- Utilize PD Cloud and TKO for technical researches if required.
- Proper endorsement of customers to other support teams.
- Track and monitor the parts shipment and provide complete and precise shipping information.
- The Logistics Coordinator II reports directly to the Parts Manager, Supervisor and Team Leader, but maintains close working relationships with other associates within the team, services planners, Sales Rep, Service Partners, District Operations Coordinators, Customer Engineers and end customers.
- Maintain good communicative relationship with Customer Engineers, Service Partner, DOC and end customer for parts order requirements, requests for quotes, parts research and shipment tracking.
Qualifications
- Bachelor's/College Degree in Engineering (Computer/Telecommunication, Electrical/Electronic, Industrial, Mechanical, Mechatronic/Electromechanical) or equivalent, supply chain, logistics or related discipline.
- At least 2 years of working experience in the related field is required for this position.
- Understands various electrical parts and familiar with Bill of Material.
- Willing to do calls and detail oriented with good English communications skills.
- Excellent organization and prioritization skills are necessary.
- Demonstrated ability to meet deadlines.
- Excellent oral and written communication skills.
- Fluency in written and spoken American English is required.
- Experience with computers, especially Microsoft Office.
- Experience with PowerBI, Smartsheet, RPA and Intelligent Automations or Artificial Intelligence is a plus.
- Knowledge of US geography and transportation systems.
- Dependability.
- Demonstrated customer service resolution skills.
- Excellent problem-solving abilities and capable of resolving contract and product issues.
- Team player with proven written and verbal communication skills (esp. telephone and email).
- Strong interpersonal skills, self-motivated and able to work without direct supervision.
- Demonstrated sound decision of choosing best method of shipment for all customers.
- Use software tools to find transportation information for all carriers.
- Basic understanding of inventory management.
