Job Description

Job Summary:

The Logistics Assistant is a vital member of the logistics team, responsible for supporting the coordination and execution of various tasks related to the distribution and transportation of publications from Summit Books. This role involves collaborating with internal teams, external vendors, and ensuring efficient logistics operations.

Responsibilities:

Order Processing

  • Assist in processing and managing orders for publications, ensuring accuracy and completeness.
  • Coordinate with suppliers, publishers, and internal teams to confirm order details.

Inventory Management

  • Support the maintenance of accurate inventory records for publications.
  • Conduct routine stock checks and assist in reconciling discrepancies.

Supplier and Vendor Communication

  • Communicate with suppliers, printers, and distribution partners to facilitate the production and delivery of publications.
  • Coordinate with vendors to track shipments and update relevant stakeholders.

Shipment Tracking

  • Monitor and track the shipment status of publications in transit.
  • Communicate with carriers and logistics providers to ensure on-time delivery.

Documentation Handling

  • Prepare and maintain shipping and customs documentation.
  • Ensure all required paperwork for shipments, including international ones, is complete and accurate.

Warehousing Assistance

  • Assist in organizing and maintaining warehouse spaces efficiently.
  • Participate in loading and unloading activities, maintaining a well-organized warehouse.

Quality Control

  • Participate in quality checks on incoming and outgoing publications.
  • Report any damages or discrepancies to the logistics supervisor promptly.

Reporting and Analysis

  • Generate regular reports on logistics performance, including order fulfilment, inventory levels, and shipment tracking.
  • Assist in analyzing data to identify trends and areas for improvement.

Technology Utilization

  • Utilize logistics and inventory management software to streamline processes.
  • Stay updated on industry-relevant technology advancements and tools.

Team Collaboration

  • Collaborate with the logistics team, as well as other departments such as sales, marketing, and customer service.
  • Communicate effectively with internal teams to ensure coordinated logistics operations.

Requirements and Skills:

  • High school diploma or equivalent; additional education in logistics or a related field is a plus.
  • Proven experience in a logistics support role, preferably in the publishing industry.
  • Strong organizational and multitasking skills.
  • Proficiency in Microsoft Office applications.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with a commitment to accuracy.
  • Ability to adapt to a fast-paced and dynamic work environment.
