JOB SUMMARY:
The Logistics and Inventory Coordinator plays a pivotal role in managing the inventory lifecycle across all channels and markets. This includes tracking stock levels, receiving and dispatching shipments, maintaining system accuracy, assisting with new product setups, and supporting process improvements. The role requires strong attention to detail, excellent organizational skills, and the ability to work closely with internal teams and external stakeholders to maintain operational efficiency.
Key Responsibilities:
Logistics and Inventory Management
- Assist with all aspects of the inventory lifecycle, including receiving stock, tracking depletion rates, and ensuring timely dispatch of orders via 3PL
- Track shipments via air and sea freight, maintaining accurate records
- Maintain inventory data accuracy by:
- Tracking stock order specifications, statuses, and levels based on weekly sales forecasts and real-time demand
- Analyzing stock specifics such as shelf life and quantity, using inventory systems (e.g., Cin7, Zenventory)
- Making recommendations for reorders, reworks, or adjustments
- Updating inventory systems promptly for receipts, transfers, and adjustments (damaged stock, inward receipts)
- Assisting with regular stock takes and quarterly audits
- Accurately calculate and report landed costs, including shipping, duties, and other fees
- Verify invoicing with suppliers and address discrepancies promptly
- Support new product setup in the inventory management system, including SKUs and Bill of Materials
- Collaborate with the supply chain team to maintain optimal stock turnover, minimizing overstock and stockouts
Reporting & Communication
- Provide proactive, concise, and actionable updates to stakeholders on inventory trends, slow-moving stock, and potential issues
- Collaborate effectively with internal teams and external partners
- Assist with ad hoc reporting, tracking, and process documentation
Continuous Improvement & Projects
- Identify opportunities to improve logistics, inventory, and operational processes
- Participate in at least two process improvement initiatives per year
- Support quality assurance, recall processes, and other operational projects as required
- Actively upskill in both technical and soft skills to enhance personal and team performance
Qualifications & Skills:
- Exceptional attention to detail with a proactive approach to problem-solving
- Excellent verbal and written communication skills
- Strong administrative, organisational, and multitasking abilities in a fast-paced environment
- Quick learner with a willingness to take on new challenges in a dynamic logistics and inventory role
- Works well independently and collaboratively within a team
- Positive attitude, strong work ethic, and commitment to process improvement
- Proficiency in MS Office (especially Excel) and Google Workspace (Sheets, Gmail)
- Fluency in English is required; Mandarin is preferred but not essential
