Position Overview
We are seeking a highly articulate, fast-paced Juris Doctor graduate based in the Philippines to serve as the real-time operational backbone for a US-based litigation team. Operating on a fixed 12:00 AM to 9:00 AM PHT shift, you will directly align with our core business hours (9:00 AM – 6:00 PM PST).
This is a 100% on-site, task-driven administrative role. You will handle the high-volume scheduling, calendar gatekeeping, and case tracking for a team of 7 active US litigation attorneys. Because you will be working live alongside the attorneys during their peak trial hours, this role demands immediate responsiveness, flawless written English, and a sharp legal mind that understands court timelines.
Shift & Location: 9:00 AM – 6:00 PM PST (Mon–Fri) | 100% On-Site (No Remote Work)
Duties And Responsibilities
- Live Calendar & Docket Triage: Manage and update live calendars for 7 US litigation attorneys simultaneously. Adjust schedules in real-time as court hearings shift, continuances are granted, or emergency meetings arise.
- Deadline Tracking & Alerts: Monitor and track strict US court-mandated filing deadlines. Keep the attorney team strictly on schedule by proactively flagging upcoming dates throughout the PST workday.
- Real-Time Client & Court Liaison: Serve as the active overnight point of contact. Draft and send high-volume email correspondence to US clients, opposing counsel, and court personnel with zero delay.
- End-of-Day Case Reporting: Generate and maintain daily Excel/Google Workspace tracking sheets to provide leadership with clear visibility into case statuses and metrics.
- Operational Execution: Ensure flawless digital record-keeping of all scheduling changes and incoming legal correspondence during the US business day.
Experience And Qualifications
- Education: Juris Doctor (JD) or Bachelor of Laws (LL.B.) graduate from a Philippine law school preffered.
- Shift & Logistics: Must be 100% committed to a permanent 12:00 AM – 9:00 AM PHT shift and have a reliable, safe transit plan for commuting to the office at midnight.
- Communication: Near-native, flawless written and verbal English skills. You must be comfortable corresponding professionally with US judges, clerks, and high-profile clients.
- Speed & Focus: Exceptional organizational skills and a high level of comfort with repetitive, high-volume administrative tasks in a fast-paced live environment.
- Tech Literacy: Advanced proficiency in Google Workspace (Gmail, Calendar) and Microsoft Excel.
