Job Title: Legal Workflow Manager

About the Role: We are hiring a Legal Workflow Manager to oversee the movement of legal work across the firm. This role is operational, not substantive-legal. You will make sure that matters move, deadlines are controlled, files are complete, handoffs are clear, and teams follow the firm's workflow and documentation standards. This role is ideal for someone with strong law office operations experience, paralegal workflow experience, or case management experience who is obsessed with order, turnaround time, and completeness.
What You Will Own
- Monitor all active matters and their current stage in the workflow
- Track deadlines, next actions, document dependencies, and responsible persons
- Ensure each matter progresses from intake to closure without unnecessary stagnation
- Coordinate handoffs among lawyers, paralegals, secretaries, admin, messengers, and driver
- Maintain matter trackers, status boards, and workflow dashboards
- Enforce file naming, folder structure, version control, and document control rules
- Ensure use of approved templates, checklists, and standard procedures
- Check files for completeness before filing, routing, or partner review
- Flag bottlenecks, overdue tasks, missing documents, and workflow risks
- Support calendaring and deadline control with the operations team
- Help improve SOPs, templates, and workflow systems based on recurring issues
- Work with partners and staff to reduce turnaround times and rework
What We're Looking For
- Strong case management or legal operations background
- Very strong attention to detail and process discipline
- Comfortable managing trackers, deadlines, and multi-person workflows
- Able to communicate clearly with lawyers and support staff
- Strong file management and documentation habits
- Experience with Google Drive, Sheets, Docs, Slack, Zoom, and calendaring systems
- Able to identify where work gets stuck and push it forward
- Highly accountable and not intimidated by fast-paced legal work

Preferred Background
- Familiarity with pleadings, filing cycles, document routing, and hearing/preparation workflows
- Experience building or enforcing SOPs and quality-control checklists
