Job Description
The Marketing Programs Specialist coordinates and executes the firm's relationship-driven marketing programs: webinars and events with partner organizations, presentation and CPD programs, sponsorships, the referral partner program, support for the Director's directory and awards submissions, and new-hire marketing materials. This role brings the firm's relationship-driven programs to life by managing the people, calendars, processes, and details required for consistent execution. You will work independently and be measured on programs that run on schedule without lawyer time spent on logistics. The role offers meaningful ownership of established and emerging programs, close work with senior leadership, and the chance to help build the processes that support the firm's continued growth.
Key responsibilities
- Own partner-organization coordination for webinars and joint events — scheduling, co-presenter logistics, promotion arrangements with the partner, and follow-through. Maintain the firm's webinar and event calendar in accordance with the firm playbook.
- Coordinate presentation venues and CPD providers for the firm's ready-to-deliver presentation library, including scheduling firm presenters, managing production requirements, confirming accreditation details where applicable, and completing post-presentation follow-up.
- Coordinate firm sponsorships from agreement through completion, including documenting commitments, managing activation requirements, tracking deliverables, and reporting available performance information.
- Coordinate a year-round referral partner program that extends beyond seasonal gifting. Maintain a tiered contact list of referring accountants and lawyers, implement touchpoints throughout the year, and use invitations into firm webinars and CPD programs to support relationship development.
- Execute the firm's seasonal and relationship-based gifting program: maintain the master mailing list, confirm recipient details and addresses, coordinate fulfillment, and document what was sent to each recipient.
- Support the Director with legal directory submissions, including Chambers, Legal 500, and Best Lawyers. Gather and organize matter information, prepare referee lists and submission drafts, manage internal timelines, and follow up with lawyers well ahead of deadlines.
- Prepare new-hire bios and arrange headshots in the firm's tone of voice and visual identity.
- Coordinate print and offline collateral, including one-pagers, event materials, and firm stationery. Prepare briefs and manage the firm's external designer or agency to deliver materials consistent with the firm's visual identity.
- Prepare agendas, reports, and supporting materials for the Director's monthly marketing meeting, and track agreed actions through completion.
About you
- At least three (3) years of marketing experience in an international law firm, ideally in a programs, events, business development, or relationship-marketing role.
- A demonstrated track record of delivering events, webinars, or CPD programs with external partner organizations.
- Experience supporting legal-directory submissions such as Chambers, Legal 500, Best Lawyers, or comparable programs, and an understanding of the information and coordination required to produce a strong submission.
- Excellent plain-English writing and editing skills.
- Experience working across time zones and coordinating senior professionals with competing priorities.
- Experience succeeding in a growing and evolving organization where processes may still be under development.
- Strong organizational and project-management skills, sound judgement, and a high degree of independence.
