The
Legal & Compliance Administrative Assistant provides administrative and coordination support to Ubiquity's Legal and Corporate Compliance teams. This role supports day-to-day legal operations by assisting with document organization, agreement execution coordination, scheduling, and follow-ups, helping ensure timely and accurate workflows. This position is administrative in nature and does not involve legal analysis, contract drafting, or contract review.
Key Responsibilities
- Organize and maintain legal and compliance documents in designated repositories
- Assist with agreement execution using DocuSign or other approved execution platforms or methods
- Track execution status and provide follow-ups and reminders to internal stakeholders
- Assist Legal and Compliance teams by collecting and confirming required details to support updates to legal and compliance trackers
- Provide administrative support to the In-House Attorney, Head of Legal, and Corporate Compliance team
- Coordinate meetings and calendars, including across time zones
- Prepare basic status summaries and administrative reports as requested
- Handle confidential and sensitive information with discretion
Required Qualifications
- Strong organizational skills and attention to detail
- Excellent written and verbal English communication skills
- Proficiency with Google Workspace (Docs, Sheets, Drive, Slides, Calendar)
- Familiarity with DocuSign or similar electronic signature and execution platforms
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Willingness to work onsite during night shift hours aligned with U.S. operations
Preferred Qualifications
- Two (2) or more years of experience in legal, compliance, or administrative support roles
- Experience supporting document management, execution tracking, and calendaring
- Familiarity with tracked changes and comments in documents
- Background in corporate, law firm, or BPO environments
