Job Description

Overview

Our client is looking for a proactive Legal Bookkeeper to manage financial records for a growing legal services company that operates on a contingency-based payment model. In this fast-paced role, you will leverage your strong QuickBooks expertise to oversee bookkeeping functions, manage vendor billing, and provide timely case cost reporting. The ideal candidate is highly organized and comfortable delivering critical financial information to attorneys on short notice, with California bookkeeping and US tax experience considered a significant advantage.

Schedule:

  • Monday - Friday, 10:00 AM - 6:00 PM PST, with 30 minutes paid break (40 work hours per week)

Responsibilities

  • Maintain accurate and up-to-date financial records for all active legal cases using QuickBooks.
  • Provide real-time case cost summaries and financial breakdowns to attorneys, including during live court proceedings when required.
  • Review, reconcile, and audit vendor invoices to identify billing discrepancies or unauthorized charges.
  • Manage accounts receivable for contingency-based legal cases with settlement timelines that may extend from one to two years.
  • Process accounts payable and ensure timely and accurate vendor payments.
  • Reconcile bank and credit card accounts regularly.
  • Assist with month-end bookkeeping and financial reporting.
  • Support basic administrative tasks during periods of lower bookkeeping volume.
  • Maintain organized financial documentation and ensure all records are audit-ready.
  • Communicate professionally with attorneys, vendors, and other stakeholders regarding billing and financial inquiries.

Requirements

  • Proven bookkeeping experience with the ability to work independently and make sound financial decisions.
  • Strong hands-on experience using QuickBooks.
  • Experience supporting US-based businesses is highly preferred.
  • Experience with US tax regulations and/or California accounting/bookkeeping practices is highly preferred.
  • Solid understanding of accounts payable, accounts receivable, reconciliations, and general bookkeeping principles.
  • Excellent verbal and written English communication skills.
  • High level of accuracy, attention to detail, and organizational skills.
  • Ability to manage multiple priorities and respond promptly to urgent requests.
  • Proficiency in Microsoft Office or Google Workspace, particularly Excel/Google Sheets.
