Manage, organize, and maintain documents in both paper and electronic filing systems (Legal Docket).
Maintain a master list of contracts, Minutes of Meeting, Secretarys Certificates, Board Resolutions, and other related documents.
Monitor deadlines and ensure timely compliance with required submissions.
Provide general administrative assistance and support to the legal team, including maintaining the teams calendar and arranging meetings, travel, and other related requirements.
Collect, examine, and organize legal documents for the legal teams review and case preparation.
Draft and proofread simple correspondences, letters, and transmittals.
Circulate legal documents for signatures by clients, service providers, and internal team members.
Facilitate the notarization of legal documents.
Conduct research on regulations, laws, and legal articles to assist in preparing reports, case files, and legal advice.
Manage billings sent by service providers and law firms.
Communicate with suppliers and coordinate with team members to schedule meetings and follow up on requirements.
Qualifications
Any Bachelors Degree required.
Three (3) to five (5) years of experience as an administrative assistant (preferably in a law firm or in a corporate legal department), legal assistant, legal secretary, or paralegal.
Detail-oriented and highly organized.
Excellent verbal and written communication skills and professional demeanor.
Strong knowledge of Microsoft Office, including Word, Excel, and Outlook.
Ability to work independently, manage large workloads, and keep deadlines.
