Job Summary:
The Leasing Associate supports the end-to-end leasing process, from offer preparation and documentation to contract finalization and lease management. The role ensures timely coordination with tenants, legal, finance, and property management teams to help achieve occupancy and revenue targets.
Key Responsibilities:
1. Planning and Documentation Support
- Support in the preparation of Offer Sheets and Contract of Lease (COL).
- Assist in the creation of Profit Centers and SAP Business Entities with Finance.
- Update and monitor prospect tenants
2. Lease Offer & Negotiation
- Send Offer Sheet and TOR to locators.
- Secure all tenant documentation requirements:
- Business registration documents (SEC/DTI)
- BIR Certificate (2303)
- Secretary's Certificate, Government IDs, Franchise Endorsements, etc.
- Route Contract of Lease (COL) for internal approval.
- Ensure delivery of all legal documents to tenants, including:
- Tax Declaration
- Title Certificates
- Occupancy Permits
3. Deal Closing & Space Turnover
- Coordinate with Project Development and Legal to secure signed COL from both parties.
- Handle the notarization, archiving, and tracking of signed COLs.
- Remind tenants on Documentary Stamp Tax (DST) payments and collect filed copies.
- File DST returns in internal records.
4. Lease Management (Ongoing Lease)
- Maintain accurate lease databases and documentation.
- Monitor tenant sales performance and compliance with lease terms (security deposit, insurance, etc.).
- Generate and send invoices for rent and recoveries (e.g., utilities, CUSA, real property tax).
- Coordinate with Property Management on tenant concerns and issues.
Billing & Collection
- Coordinate with ABSI/Finance in generating and sending SOAs for rent, security deposits, and other charges.
- Oversee the collection and acknowledgment of receivables.
4.1. Lease Management (Renewal and Termination)
- Monitor lease expiration dates and initiate renewal processes.
- Submit and archive lease renewal documents and DST filings.
- Coordinate contract terminations, security deposit returns, and space re-offering to new prospects.
Qualification
- Bachelor's degree in Business, Marketing, or related field
- At least 1 year experience in real estate leasing
- Strong communication and negotiation skills
- Knowledge of lease contracts and tenant coordination
- Proficient in MS Office
- Customer-oriented and detail-focused
