Overview
A Leasing Assistant plays a key role in supporting property leasing operations by sourcing prospective tenants through marketing, broker networks, and client inquiries; preparing proposals and assisting with unit inspections; negotiating rental rates, terms, and contract conditions; and coordinating with property management, accounting, engineering, maintenance, and legal teams to ensure smooth contract execution and unit turnover. He/she managelease documentation, renewals, and renegotiations, maintain updated records of lessees, and handle billing requests, broker accreditation, commission releases, and management reports. Overall, the Leasing Assistant ensures efficient tenant relations, accurate contract processing, and effective coordination across departments to support leasing activities and property occupancy.
Duties And Responsibilities
- Sources out prospective / potential lessees through direct marketing, advertising, network of brokers, telemarketing, attending phone inquiries, and walk-in clients.
- Sends proposal letters detailing building features and lease arrangements.
- Follows-up accounts of prospective clients and negotiates with with them regarding the monthly rental rates, terms and conditions of the contract.
- Provides assistance for interested clients for a unit or site inspection.
- Coordinates with the property manager, accounting, engineering, maintenance, and legal department for the lessees requirements and concerns regarding the contract, renovation, and proper turn over of the unit.
- Prepares draft with standard contract format and processes the execution and finalization of the contract of lease and addendum after all areas of concerns and agreements have been finalized between legal, accounting, prospective tenants, and property leasing group.
- Attends to requests and needs of the existing lessees and provides correspondences on their concerns and queries.
- Updates accounts and status of existing lessees in the leasing master list file.
- Prepares clearance for renewal of contracts from concerned departments.
- Renews and renegotiates (rental rates, modes of payment, amenities, etc.) expiring contracts of existing lessees.
- Accredits brokers and updates the brokers regarding new rates, and terms and conditions of the contract.
- Prepares request for payments.
- Prepares commission release for brokers.
- Prepares management reports.
Other tasks
- 1. Collects advance rental payment and security deposit for new accounts if needed.
- 2. Performs tasks that may be assigned from time to time.
Qualifications
- Bachelors Degree in Business, Marketing, or Real Estate.
- 12 years of experience in customer service, sales, or administrative work. Prior experience in property management is a plus.
- Strong communication and negotiation skills.
- Detail-oriented with excellent organizational and multitasking abilities.
- Proficiency in MS Office applications and familiarity with leasing documentation.
- Ability to work collaboratively with cross-functional teams.
- Willingness to work at Chino Roces, Makati.
