Job Description

We're looking for a detail-driven property operations professional who thrives in structure, accuracy, and accountability. This role plays a critical part in ensuring the integrity of a diverse residential and commercial property portfolio by taking ownership of lease documentation, tenancy compliance, and rent collection processes from end to end.

You'll be responsible for auditing lease agreements to ensure nothing falls through the cracks, building and maintaining a centralized lease and tenancy register, and proactively monitoring compliance requirements such as tenant insurance and key documentation. A big part of your day will also involve reconciling rent payments through NAB Connect and property management systems, ensuring all financial transactions are accurately recorded and up to date.

Schedule

  • Mon - Fri (9am - 6pm) with 1 hour unpaid break

Responsibilities:

  • Conduct a comprehensive audit of all existing lease agreements across residential and commercial properties to ensure completeness and accuracy
  • Build and maintain a centralized tenancy and lease register tracking lease status, expiry dates, renewal timelines, and compliance documentation
  • Monitor and verify tenant insurance certificates and other compliance requirements, proactively flagging any gaps or lapses
  • Reconcile incoming rent payments using NAB Connect and property management software, ensuring all transactions are accurately recorded
  • Prepare and deliver weekly reports summarizing rent collection status, outstanding arrears, and overdue bills
  • Follow up with tenants on overdue rent and outstanding bills within 24–48 hours, escalating as needed

Requirements:

  • Proven property management experience with a strong understanding of lease agreements and tenancy legislation
  • Ability to read, interpret, and assess the completeness of commercial and residential lease documents
  • Strong written and verbal communication skills suitable for direct tenant correspondence and phone follow-ups
  • High level of attention to detail and ability to manage multiple compliance deadlines simultaneously
  • Self-starter who can proactively identify issues and suggest process improvements
  • Willingness to learn new property management platforms such as Property Tree

Scope:

  • Initially managing the family-owned property portfolio with potential expansion to the broader real estate agency's managed properties
  • Providing weekly accountability reports to the property owner
  • Eventual direct tenant communication via phone using an Australian number
