Job Description

We are seeking a highly motivated, sales-driven Lead Conversion Specialist to join a fast-paced medical aesthetics, med spa, or plastic surgery practice.

The Lead Conversion Specialist is responsible for managing inbound calls, texts, web inquiries, and other prospective patient leads, with the primary goal of converting qualified prospects into scheduled consultations and appointments.

This role combines exceptional customer service with strong sales and closing skills. The ideal candidate can quickly build rapport, understand a prospective patient's aesthetic goals, address concerns and objections, confidently discuss services and next steps, and guide the patient toward booking an appointment.

Key Responsibilities

Lead Management & Conversion

  • Respond promptly and professionally to inbound calls, texts, web leads, and other prospective patient inquiries.
  • Engage prospective patients and establish trust from the first interaction.
  • Identify patient needs, aesthetic goals, concerns, and interest in available services.
  • Educate prospective patients using approved practice information and guidelines.
  • Recommend the appropriate consultation or appointment based on the patient's needs.
  • Confidently ask for the appointment and guide qualified leads through the scheduling process.
  • Convert inbound inquiries into scheduled consultations and appointments.
  • Follow up consistently with leads who do not schedule during the initial interaction.
  • Re-engage qualified leads through timely calls, texts, and other approved communication channels.

Sales & Objection Handling

  • Identify and address common objections related to pricing, timing, availability, services, and patient hesitation.
  • Communicate the value of consultations and services without making unauthorized clinical claims.
  • Use active listening and consultative selling techniques to understand patient motivations.
  • Create urgency appropriately and professionally to encourage qualified prospects to take the next step.
  • Maintain a confident, persuasive, and patient-centered approach throughout the sales process.
  • Consistently work toward established lead conversion and appointment-setting targets.

Scheduling & Patient Experience

  • Schedule consultations and appointments accurately according to provider and practice guidelines.
  • Ensure patients understand appointment details, requirements, and next steps.
  • Deliver a polished and professional experience that reflects the practice's brand.
  • Coordinate with front-office staff, providers, and clinical teams when necessary.
  • Handle inquiries with empathy, professionalism, and discretion.

Documentation & Systems

  • Accurately document lead interactions, patient information, conversations, appointment outcomes, and follow-up activities.
  • Maintain accurate records in the practice's EMR, EHR, CRM, or practice management system.
  • Track lead status and ensure no qualified lead is left without appropriate follow-up.
  • Navigate multiple systems and communication platforms efficiently.
  • Maintain strict patient confidentiality and comply with HIPAA and applicable privacy requirements.

Qualifications

  • Excellent English communication skills, both verbal and written.
  • Exceptional interpersonal and communication skills.
  • Confident, polished, and professional phone presence.
  • 1+ year of experience in phone-based sales, inbound sales, lead conversion, appointment setting, call center, or customer service.
  • Proven ability to convert inbound inquiries into appointments, consultations, or sales.
  • Experience using a medical practice management system, EMR, EHR, CRM, or medical scheduling software is required.
  • Strong active listening, objection-handling, and closing skills.
  • Comfortable discussing pricing and confidently asking prospective patients to schedule.
  • Strong follow-up, time management, and organizational skills.
  • Ability to work effectively in a fast-paced, high-volume environment.
  • Strong attention to detail and accurate data-entry skills.
  • Ability to quickly learn and navigate multiple software platforms.
  • Understanding of patient confidentiality and HIPAA requirements.
