Job Description

Knowledge Management Specialist (Up to ₱60K | Hybrid | FREE AI Certification)

Cebu City | Hybrid (3 days onsite at IT Park, 2 days WFH) | 8:00 PM–5:00 AM PH Time | Monday–Friday

You own the enterprise knowledge systems that let a U.S.-based SaaS company's employees find, share, and apply the right information when it matters — institutional knowledge, policies, procedures, and best practices captured into a single, reliable source of truth. Your work follows defined content standards, taxonomies, and governance cycles aligned with operational, compliance, and L&D priorities.

This is not a writer-only role. You operate within established knowledge frameworks, partner with SMEs and Learning & Development to capture and disseminate knowledge, and are trusted to drive adoption measurably over time. Best suited for professionals who thrive on structure and stewardship, value accuracy and usability in equal measure, and prefer disciplined knowledge governance over ad-hoc content production.

You're Likely a Strong Fit If You Have

  • 3+ years of experience in knowledge management, content management, process documentation, or a comparable role
  • Hands-on experience with knowledge bases, intranet platforms, and document management systems such as SharePoint, Confluence, or ServiceNow
  • Strong writing, editing, and information organization skills — with proven ability to translate complex information into clear, user-friendly documentation
  • Bachelor's degree in Information Management, Business Administration, Communications, Library Science, or a related field
  • Willingness to work 8:00 PM–5:00 AM PH Time aligned with U.S. business hours and report to Cebu IT Park on assigned hybrid days

Strong Signals

  • Experience with enterprise change management or continuous improvement initiatives
  • Familiarity with metadata, taxonomy design, and content lifecycle management
  • Working knowledge of workflow automation or AI-assisted knowledge tools
  • Certification in Knowledge Management (e.g., KCS or similar)
  • Prior exposure to payroll, HR, benefits, or SaaS domains

What You'll Own

Knowledge Frameworks & Systems

You own the design and operation of the knowledge infrastructure that powers daily work across the organization.

  • Design, implement, and maintain knowledge management frameworks, processes, and tools
  • Manage and improve knowledge repositories, intranet content, and collaboration platforms
  • Develop and enforce content standards, taxonomies, metadata, and version control practices
  • Govern access, structure, and content lifecycle across the knowledge ecosystem

Knowledge Capture & Curation

You translate expert know-how into structured, reusable assets the whole business can act on.

  • Partner with subject matter experts to document workflows, FAQs, and lessons learned
  • Capture, organize, and curate institutional knowledge, policies, procedures, and best practices
  • Ensure knowledge content remains accurate, compliant, and up to date
  • Maintain a backlog of knowledge gaps and prioritize capture by business impact

Adoption, Training & Change Management

You drive how knowledge is shared, taught, and embedded in everyday work.

  • Partner with Learning & Development to train employees on knowledge tools, documentation standards, and best practices
  • Support change management initiatives related to knowledge sharing and adoption
  • Promote a culture of knowledge sharing and continuous improvement across the organization
  • Roll out content updates with appropriate change communication

Analytics & Continuous Improvement

You measure what knowledge gets used, what gets missed, and what to fix next.

  • Analyze usage metrics and user feedback to improve knowledge accessibility and effectiveness
  • Run regular content audits to identify stale, duplicate, or conflicting articles
  • Track adoption and surface knowledge friction back to the teams that own it
  • Recommend and implement improvements to information architecture and content strategy
