About the Role

Executive Assistant Institute (EAI) connects founders and executives who refuse to slow down with dedicated, world-class Executive Assistants. We recruit Associates from a global talent network across the Philippines, Colombia, Mexico, Argentina, and Venezuela, vetting every candidate for mindset, integrity, and leadership potential — then train and coach them to become exceptional operators. Each Associate works exclusively with one Client, 40 hours a week, aligned to that Client's time zone. 

The Talent Coaching Department is what makes that promise real after placement. Once an Associate and Client are matched, this role is the one keeping both sides confident it was the right match — coaching the Associate toward top performance, staying close to the Client so nothing goes unnoticed, and keeping the relationship organised from the first onboarding call onward. 

This is a heavily client-facing role. You will be on calls with Clients and Associates nearly every day: onboarding new partnerships, running coaching and evaluation calls, and holding the calendar that keeps it all moving. You will thrive here if you are used to the rigor and structure of a fast-paced, metrics-driven environment — many of our best coaches come from a call center or BPO training background, where clear communication, consistency, and being comfortable on camera with people are second nature.

What You'll Do Ensure a great partnership

  • Lead onboarding calls with new Clients, setting expectations and showing them how to get the most out of their Associate from day one
  • Lead onboarding calls with new Associates, introducing them to their Client, the Client Manual, and EAI's way of working
  • Run Launch Day training so every Associate starts their placement fully prepared
  • Represent EAI professionally on every call — poised, structured, and confident presenting to founders and executives
  • Be the steady, trustworthy point of contact Clients and Associates can count on throughout the relationship

Ensure top performance

  • Conduct monthly coaching and evaluation calls with Associates, scoring performance against our Performance Scorecard
  • Deliver direct, honest feedback — no sugarcoating, but always with care — and use probing questions to help Associates find their own answers
  • Follow up on feedback calls to track growth and hold Associates accountable to their commitments
  • Post call summaries and performance updates to internal coaching channels
  • Recognize standout Associates with shoutouts and recognition moments

Calendar management

  • Own the calendar: schedule and manage coaching calls, onboarding calls, and recurring department meetings across multiple time zones, since Clients and Associates aren't all on Philippine time
  • Keep your own calendar and the department's shared scheduling organized and conflict-free

Documentation

  • Keep coaching records, scorecards, and call recordings accurate and up to date
  • Maintain and update Client Manuals so they stay accurate and genuinely usable
  • Follow and help refine our onboarding SOPs and checklists

What You'll Bring Experience and tools

  • Direct experience in a client-facing role — presenting to, training, or coaching people directly, not just working behind the scenes
  • A background in call center or BPO training strongly preferred — years of experience training or coaching agents in the Philippine call center/BPO industry, comfortable with the rigor, structure, and metrics-driven pace that comes with it
  • Experience scheduling and coordinating across multiple time zones
  • Comfortable working across Zoom, Slack, Google Workspace, and Dropbox
  • Exceptional written and verbal English, confident and polished on client-facing video calls

  • Prior experience in coaching, HR, client success, or talent/people operations
  • Experience onboarding or training remote or distributed teams
  • Experience supporting founders or executives directly

Work Setup

  • Hours: Monday to Friday, 7:00am–3:00pm Philippine time
  • Fully remote from the Philippines. You will need a reliable internet connection and a quiet, professional work environment for client calls
  • You are employed and supported by EAI throughout your placement
