Designation: Junior Project Management Executive

Location: Mandaluyong, National Capital Region, Philippines

Starting Date: ASAP

SUMMARY:

The Junior Project Management Executive will support the planning, coordination, and execution of projects across the PM team. This role is ideal for someone early in their project management career who has strong organizational skills, attention to detail, and the ability to collaborate with cross-functional teams. The role focuses on assisting with project documentation, monitoring progress, coordinating tasks, and ensuring smooth operational flow.

WHAT'D YOU DO:

(1) Project Coordination & Support

  • Assist in preparing basic project plans, timelines, and task trackers.
  • Coordinate with internal teams to follow up on deliverables and deadlines.
  • Support day-to-day project activities and ensure updates are properly logged.
  • Help prepare meeting agendas, take minutes, and track action items.

(2) Documentation & Reporting

  • Maintain accurate documentation such as project briefs, status reports, and logs.
  • Assist in compiling project updates for stakeholders and management.
  • Support in organizing project files and ensuring version control.

(3) Monitoring & Tracking

  • Track the progress of tasks and highlight risks, delays, or dependencies to the Project Manager.
  • Update project dashboards, trackers, and timelines as instructed.
  • Support basic data collection for performance metrics.

(4) Risk & Issue Identification (Entry-Level)

  • Assist in identifying potential risks or blockers based on team updates.
  • Escalate issues promptly to the Project Manager.

(5) Stakeholder Coordination

  • Communicate with internal teams professionally to gather information or clarify tasks.
  • Help prepare slides or materials for stakeholder updates.

(6) Process & Quality Support

  • Assist in checking deliverables for completeness and alignment to project requirements.
  • Support adherence to established project workflows and quality standards.

WHAT'D YOU DO:

(1) Technical Skills

  • Basic knowledge of project management tools and concepts
  • Familiarity with project management concepts (Agile, Waterfall) is an advantage but not required.
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word).

(2) Communication Skills

  • Good verbal and written communication skills.
  • Ability to summarize information clearly and accurately.

(3) Organizational & Analytical Skills

  • Strong attention to detail and good time management.
  • Ability to handle multiple tasks and prioritize effectively.
  • Basic analytical mindset for tracking timelines and progress.

(4) Interpersonal Skills

  • Collaborative and team-oriented.
  • Proactive attitude and willingness to learn.
  • Ability to work professionally with colleagues across different functions.

(5) Educational Background

  • Bachelor's degree in Business Administration, Project Management, Communications, Engineering, or any related field.
  • Project management certifications (e.g., CAPM, Agile fundamentals) are a plus but not required.

(6) Experiences

  • 12 years of experience in project coordination, administrative support, operations, or related roles.
  • Internship or entry-level experience in project environments is an advantage but not mandatory.
