SUMMARY
The Project Coordinator plays a vital role within our Professional Services team, ensuring the seamless execution of small-scale projects and efficient deployment of technical resources. This position is ideal for a detail-oriented individual who excels at organizing, communicating, and managing multiple tasks in a fast-paced, client-focused environment.
JOB RESPONSIBILITIES
- Coordinate schedules for technical resources, ensuring optimal staff allocation based on skillsets, availability, and project requirements.
- Serve as the primary liaison for on-site appointments, efficiently scheduling and confirming visits between technical staff and Clients.
- Manage and maintain the service board for multiple small projects, tracking progress, deadlines, and resource assignments.
- Collaborate with project managers, technical leads, and Client contacts to ensure clarity around project scope, timelines, and deliverables.
- Proactively address scheduling or resource conflicts.
- Communicate project updates, changes, and risks to relevant stakeholders in a timely and professional manner.
- Assist with documentation, including work orders, meeting notes, and status reports.
- Support the onboarding of new small projects, ensuring all necessary resources, information, and logistics are in place before work commences.
- Contribute to continuous improvement of scheduling and coordination processes within the team.
QUALIFICATIONS
- Previous experience in project coordination, scheduling, or a related administrative role, preferably within a Managed Services, IT, or technical environment.
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Strong communication skills, both written and verbal, with a focus on clarity and professionalism.
- Proficiency with project management and scheduling tools (e.g., service boards, ticketing systems, Microsoft Office Suite).
- Experience with ConnectWise is a plus.
- Detail-oriented mindset with a proactive approach to problem-solving.
- Ability to work collaboratively within a team while also operating independently as needed.
- Comfortable interacting with technical professionals and Clients alike.
- Preferred Qualifications:
- Experience working with Managed Services Providers (MSPs), professional services teams, or in a technical project environment.
- Familiarity with IT service management frameworks and tools.
- Associate or bachelor's degree in business administration, information technology, or a related field (or equivalent experience).
JOB REQUIREMENTS
- Should be willing to accept a long-term work-from-home arrangement.
- Should be amenable to a night shift schedule.
- Work hours will be 8am-5pm PST to provide coverage for West Coast team and clients.
