Bachelor's degree in Information Technology, Computer Science, Business Administration, Industrial Engineering, Accounting, or any related field
At least 5 years of experience in IT Asset Management, specializing in Purchasing / Inventory / Material & Warehouse Management, or related functions, preferably within a BPO setup
At least 3 years of experience in a leadership role within Asset Management, with proven experience in people management
Strong experience in end-to-end asset lifecycle management (acquisition, tagging, assignment, transfer, maintenance, and disposal)
Experience handling PEZA and BOC compliance requirements related to asset management (e.g., forms, permits, asset movement, import/export documentation)
Familiar with IT Asset Management Systems (AMS), inventory tracking tools, and ticketing systems
Proficient in Microsoft Excel (VLOOKUP, Pivot Tables, reporting, and data validation)
Knowledgeable in IT hardware and software asset lifecycle, including IMAC (Install, Move, Add, Change) processes, FAC knowledge, and asset life cycle
Experience coordinating with vendors for asset sourcing, repairs, warranty claims, and disposal
Strong documentation, auditing, and reconciliation skills with high attention to detail
Good communication skills for coordination with internal stakeholders, vendors, and regulatory bodies
Amenable to work onsite and visit other company sites as required
Willing to work shifting schedule and must be able to start ASAP
Job Functions:
Manage and maintain accurate records of all IT and non-IT assets, ensuring proper tracking, tagging, and classification
Oversee the end-to-end asset lifecycle from acquisition, deployment, transfer, maintenance, to disposal
Process asset issuance and retrieval for onboarding, offboarding, internal transfers, and project requirements
Update and monitor asset records in the system, including movements, repairs, replacements, and disposals
Conduct regular physical inventory and reconciliation across sites; investigate and resolve discrepancies
Validate delivered assets by checking specifications, serial numbers, delivery receipts, and invoices
Coordinate with vendors for asset procurement, repairs, maintenance, and warranty claims
Support asset sourcing by requesting and consolidating vendor quotations and tracking deliveries
Maintain asset history including assignment, movement, and maintenance records
Prepare reports for audit, compliance, and management requirements
PEZA / BOC Compliance:
Ensure compliance with PEZA, BOC, and other regulatory requirements related to asset management
Process and manage PEZA documentation (e.g., forms 8105, 8106, 8112, LOA, permits, and asset movement records)
Handle monthly reporting of asset additions, movements, and replacements to PEZA
Support farm-in / farm-out and equipment transfer processes in compliance with PEZA guidelines
Coordinate with PEZA and internal stakeholders to ensure proper documentation and adherence to processes
Assist in LOA renewals and other regulatory requirements
Promote awareness of PEZA compliance processes across internal teams
