Job Summary
The Invoicing Clerk is responsible for preparing, issuing, and monitoring customer invoices accurately and on time. The role ensures that all billing information is complete, compliant with company policies, and properly recorded to support smooth cash flow and accurate financial reporting.
Key Responsibilities
- Prepare and issue sales invoices, billing statements, and official receipts
- Verify billing details including prices, quantities, discounts, VAT, and payment terms
- Ensure invoices comply with company policies and government regulations
- Coordinate with Sales, Operations, and Accounting to resolve billing discrepancies
- Maintain accurate records of issued invoices and related documents
- Monitor invoice status and follow up on unpaid or overdue accounts
- Encode and update billing data in accounting or ERP systems
- Assist in month-end and year-end closing related to invoicing
- Respond to customer inquiries regarding invoices and billing concerns
- Support audit requirements by providing necessary billing documentation
Qualifications
- Graduate of Accounting, Finance, Business Administration, or related course
- At least 1 year of experience in invoicing, billing, or accounting support (preferred)
- Knowledge of VAT, sales invoices, and basic accounting principles
- Proficient in MS Excel and accounting software (QuickBooks)
- Strong attention to detail and accuracy
- Good organizational and time-management skills
- Ability to work independently and meet deadlines
