Intermediate Admin Assistant

Location: Clark, Cebu, Manila or Tarlac, Philippines

Shift: Monday - Friday | 7:00 AM - 4:00 PM PHT

Salary Range: Php 45,000 - Php 58,000

As an Intermediate Admin Assistant, you will provide essential compliance and workflow support to our Australian accounting firm clients. This role is designed for a detail-oriented professional who understands the operational rhythms of AU accounting practice. Working remotely, you will manage digital documentation, handle client onboarding administrative tasks, and keep practice management systems updated to ensure seamless operations and timely service delivery across the firm.

Your Impact

  • Documentation & Digital Correspondence: Prepare, organize, and manage digital correspondence, reports, and client documents with high accuracy.
  • Practice Management System Updates: Enter and maintain critical client data using Australian practice management platforms such as XPM, Karbon, APS, or similar tools.
  • Client Onboarding Administration: Support the seamless onboarding of new clients by managing engagement letters, collecting identification forms, and compiling verification documents.
  • ASIC & Corporate Secretarial Support: Assist with corporate secretarial tasks, including online ASIC lodgments, annual reviews, and official company database updates.
  • Billing & Administrative Operations: Draft client invoices, track incoming payments, schedule virtual meetings, and manage digital executive calendars.
  • Workflow & Deadline Coordination: Collaborate closely with Australian-based accountants to ensure all client deliverables, lodgments, and compliance deadlines are met efficiently.

What You Bring

  • The Experience:2 to 3 years of experience in or directly supporting an Australian accounting firm is mandatory.
  • Technical Mastery: Strong familiarity with Australian accounting workflows, compliance processes, and software tools like XPM, Karbon, or APS. High proficiency in MS Office and cloud collaboration tools.
  • Operational Discipline: Exceptional organizational skills, high attention to detail, and a structured approach to managing high-volume tasks.
  • The Mindset: A proactive, reliable team member who works well independently in a remote environment while maintaining steady workflow output.
  • Communication Prowess: Strong written and verbal English skills, essential for drafting professional documents and coordinating with Australian accounting teams.
