You'll play a critical role in ensuring participants receive a seamless experience from initial enquiry through to service delivery.How You'll Make an Impact:
Manage and respond promptly to inbound inquiries from participants, families, and stakeholders across phone, email, and digital channels.
Support participants through the pre-engagement phase, including coordinating service agreements, sending welcome packs, and uploading onboarding documentation to the internal system
Perform risk assessments during initial bookings and appropriately allocate clinicians based on caseload complexity and regional availability.
Manage clinician calendars and scheduling to optimize appointment utilization and support team capacity management
Monitor operational workflows, including waitlists, client handovers, new enquiries, and clinician onboarding/ramp-up schedules.
Collaborate closely with clinicians, supervisors, regional managers, and internal administration teams to ensure seamless daily operations.
Deliver a high standard of customer service aligned with organizational values.
What We're Looking For - You're the Perfect Fit if You:(Non-negotiable requirements)
Have previous experience in intake coordination, customer service, administration, appointment scheduling/coordination or healthcare administration
- Have strong experience handling inbound and outbound calls
Are an effective communicator with strong interpersonal skills
Are efficient and organised, with the ability to manage multiple tasks at once
Have high attention to detail and a commitment to delivering quality service
Are approachable, proactive, and able to build strong relationships with clients and teams
What Sets You Apart - You'll Shine Even Brighter With:Nice to Haves (but not Dealbreakers)
Prior experience within healthcare or NDIS-focused setting
Familiarity with scheduling systems, CRMs, or healthcare databases
A tertiary qualification in business administration or a related field
A passion for making a meaningful impact in the disability and healthcare sector
Work Schedule & Employment Terms
- Full-Time | Monday to Friday | 6:00 AM - 3:00 PM and 8:00 AM - 5:00 PM PHT *Rotating shift schedule (every 4 weeks)
- Hybrid work setup
- Must be willing to report onsite in BGC, Taguig once per month
- Open to PH-based applicants only (not freelance or project-based)
