Overview
We are looking for a friendly, organized, and detail-oriented Intake Specialist to support a U.S.-based law firm with client intake, document collection, lead follow-up, CRM updates, and legal administrative support.
This role is for English-only candidates based in the Philippines. The ideal candidate must have prior legal intake or law firm support experience, including direct experience in estate planning and bankruptcy. The role requires strong written and verbal English communication skills, attention to detail, and the ability to work with prospective and current clients in a professional and empathetic manner.
Prior sales, lead conversion, or other client-facing sales experience is a plus, but is not required.
Key Responsibilities
• Conduct client intake for estate planning, bankruptcy, and related legal matters
• Gather accurate client and case information during intake calls and follow-ups
• Collect, organize, and track required client documents
• Assist with preparing and filling out petitions
• Enter and update leads, client details, and case information in the firm's CRM or case management system
• Track leads, follow-ups, pending documents, and client requirements
• Follow up with prospective clients and help maintain consistent communication throughout the intake process
• Communicate with prospective and current clients professionally and empathetically
• Support daily legal administrative tasks for the firm
• Maintain accurate client records, case notes, and document updates
• Handle confidential client and case information with professionalism and discretion
Required Skills and Experience
• Prior legal intake, legal assistant, or law firm support experience
• Bankruptcy experience is required
• Estate planning experience is required
• Experience assisting with petitions is required
• Strong written and verbal English communication skills
• Minimal accent and professional phone communication skills
• Strong attention to detail when handling client information, documents, and case records
• Experience gathering documents and following up with clients
• Familiarity with tracking leads in a CRM or case management system
• Prior sales, lead conversion, or client-facing sales experience is a plus
• Organized, reliable, punctual, and able to work under pressure
• Friendly, empathetic, respectful, and client-focused
• Proactive problem-solver with strong initiative
• Experience with Clio Grow, Clio Manage, Jubilee, Outlook, 8x8, or similar tools is a plus
• Able to work independently in a remote setup
Schedule, Compensation, and Benefits
• Full-time remote opportunity
• Monday to Friday, 9:00 AM to 5:00 PM Central Time
• Starts at $5 USD/hour, with a possibility of a pay increase from a performance evaluation
• Must have a reliable device, stable internet connection, and quiet remote work setup. Equipment will not be provided.
