Qualifications

  • Exceptional spoken and written English fluency
  • At least 2 years of experience in a healthcare, behavioral health, or admissions role
  • Mental health or substance use treatment experience preferred
  • Proven VOB and authorization experience with US commercial insurance payors, including BCBS, UHC/Optum, Aetna, Cigna/Evernorth, and Tricare
  • Demonstrated ability to manage a professional email inbox at high volume with accuracy and timely responses
  • Demonstrated social media management experience in creating and growing brand accounts
  • Strong writing skills, with the ability to produce empathetic, on-brand content for blog and social with minimal editing
  • Exceptional phone presence, with a warm and calm approach under pressure
  • Demonstrated ability to de-escalate emotionally distressed callers with empathy and skill
  • Sales-minded approach, with the ability to guide families toward enrollment through honest, informed, and consultative conversation
  • Availability to work US Eastern business hours with required timezone overlap
  • Proficient experience with CRM and EHR systems, and social media scheduling tools
  • Self-directed and accountable, with the ability to independently manage a multi-stream workload
  • High integrity and strict adherence to HIPAA and patient confidentiality requirements

Responsibilities

Admissions & Intake

  • Serve as the primary point of contact for all inbound admissions inquiries via phone and email
  • Conduct warm, empathetic intake screenings to assess program fit and level of care
  • Guide families through the full admissions process - from first contact to first session
  • Collect and manage intake paperwork; create and maintain accurate client files in the EHR
  • Schedule initial clinical assessments and orientation appointments
  • Convert inquiries to enrolled clients through consistent, caring follow-through
  • Track inquiry-to-admission pipeline and report conversion metrics to the Executive Director
  • Follow up on every inquiry - no lead goes cold, no family waits without a response

Phone & Email Coverage During Group Therapy

  • Cover all inbound phone calls during scheduled group therapy sessions when clinical staff are unavailable
  • Monitor and respond to the admissions email inbox daily - triaging, answering, and escalating as appropriate
  • Respond to all email inquiries with professionalism, warmth, and timely turnaround (same business day standard)
  • Handle crisis calls with composure - de-escalate when needed, gather key information, and route to the appropriate clinical contact
  • Maintain clear handoff notes so the clinical team is fully briefed after group sessions end Program Knowledge & Consultative Sales
  • Develop deep familiarity with Joshua Tree Health / Simply Teens's programs, clinical approach, levels of care, and team
  • Clearly and confidently explain IOP and PHP to families who may have no prior knowledge of mental health treatment
  • Proactively address hesitation around cost, commitment, or stigma with honest, informed responses
  • Guide families toward enrollment through consultative conversation - never pressure, always serve
  • Stay current on what differentiates Joshua Tree Health / Simply Teens from competitors in the NC market
  • Participate in any sales or program training provided by the leadership team

Verification of Benefits (VOB) & Insurance

  • Conduct VOB and authorizations for all prospective clients across major payors (BCBS, UHC/Optum, Cigna/Evernorth, Aetna, Tricare, and others)
  • Explain coverage clearly to families - deductibles, co-pays, out-of-pocket maximums, and what to expect financially
  • Coordinate with the billing team on prior authorizations and follow-up requirements
  • Flag coverage issues proactively and identify solutions before they delay admission
  • Maintain accurate insurance records in the EHR and billing systems Social Media Management
  • Manage and grow Joshua Tree Health / Simply Teens's presence on Facebook, Instagram, Twitter/X, and TikTok
  • Develop and schedule content that reflects our brand voice: warm, grounded, destigmatizing, and teen-forward
  • Engage with followers, respond to comments and DMs, and build community presence
  • Monitor trends in adolescent mental health content and identify timely posting opportunities
  • Track performance metrics (reach, engagement, follower growth) and report monthly to leadership
  • Collaborate with our marketing team on paid social campaigns and promotions as needed

Content & Blog Contributions

  • Write and/or edit blog posts for the Joshua Tree Health / Simply Teens website on teen mental health, family support, and program topics
  • Develop content aligned with the editorial calendar and SEO strategy set by the marketing team
  • Repurpose long-form blog content into social posts, graphics briefs, and email snippets
  • Coordinate with clinical staff to ensure all published content is accurate, compliant, and on-brand

Marketing Collaboration

  • Serve as the day-to-day liaison between the remote operations team and external marketing partners
  • Support the marketing team with asset organization, scheduling, and campaign logistics
  • Contribute ideas for community outreach, referral development, and brand-building initiatives
  • Maintain brand consistency across all external-facing communications - email, social, and web Administrative
  • Maintain and update intake documents, SOPs, and policy materials
  • Attend regular check-ins with the Executive Director and billing specialist
  • Support the clinical and operations team with additional tasks as assigned
