About the Role
We are seeking a highly organized and detail-oriented Insurance Virtual Assistant to manage daily insurance operations for US-based clients. This role focuses on policy servicing, quoting, and administrative support using various agency management systems. You will play a key role in ensuring accuracy, compliance, and timely processing of insurance transactions while maintaining clear communication with clients and internal teams.
Responsibilities
- Process insurance quotes accurately and efficiently
- Handle policy renewals, cancellations, endorsements, and reinstatements
- Manage billing-related inquiries and updates
- Generate and issue Certificates of Insurance (COIs)
- Perform high-volume data entry with strong attention to detail
- Handle inbound and outbound calls professionally
- Navigate and update records in systems such as APEX, Applied Epic, AMS360, EZLynx, Hawksoft, and QQ Catalyst
- Ensure all documentation is complete, accurate, and compliant with client standards
- Coordinate with internal teams to resolve discrepancies and meet deadlines
Qualifications
- Proven experience in insurance back-office support
- Hands-on experience with at least one insurance management system (APEX, Applied Epic, AMS360, EZLynx, Hawksoft, or QQ Catalyst)
- Strong understanding of quoting, endorsements, renewals, and policy servicing
- Excellent verbal and written English communication skills
- Willingness to work night shifts (US business hours)
- Must be able to work onsite in Clark, Pampanga (office-based role)
- High attention to detail and ability to handle repetitive, process-driven tasks
- Ability to thrive in a fast-paced, high-volume environment
