Role description:

The Insurance Specialist will support Arcadis's global insurance operations, focusing on policy administration, claims tracking, invoicing, certificate management, and ongoing insurance-related communication. The role ensures timely processing and documentation of insurance activities, supporting compliance and risk management efforts for Arcadis's North American and global operations.

This role will be directly reporting to the Global Insurance Director.

Role accountabilities:

Invoicing & Payment Tracking

  • Process and modify invoices for insurance-related payments in the US, Canada, UK, Netherlands, and other countries; follow up with Accounts Payable to confirm payment status.
  • Prepare and process invoices for surety bonds, general liability, auto liability claim deductibles, and policy renewals, ensuring correct allocation to projects, entities, and expense codes.
  • Maintain invoice and policy trackers with timely updates on premium/tax/invoice information and payment status.

Claims Administration

  • Add new claims (auto, property, general liability) to trackers; update claim status as new information develops.
  • Liaise between insured driver and adjuster to complete claim intake questionnaire.
  • Collaborate with internal counsel, adjusters, and project teams to clarify claim details and ensure correct allocation to business areas and expense codes.

Policy & Certificate Management

  • Receive, organize, and save insurance policies and renewal certificates to Teams and/or Drive in a structured manner for US, Canada, and global operations.
  • Distribute renewal certificate batches to designated contacts and maintain certificate trackers for global and regional compliance.
  • Upload updated certificates to the Arcadis intranet following annual renewals and ensure all links and documentation are current.

Insurance Data & Reporting

  • Collect, organize, and distribute insurance data (e.g., property data) for country-specific and global reporting.
  • Collect and consolidate local insurer synopsis data.
  • Prepare annual insurance budget and recharge communications to country finance contacts.
  • Assist with the annual US insurers audit process by organizing and revising reports as instructed by the North America Insurance Manager.

Inbox & Inquiry Management

  • Monitor the North America Insurance inquiries mailboxes to flag and escalate requests requiring review by the North America Insurance Manager, including RFPs, contract reviews, and claims questions.
  • Any other projects as required within the Insurance function.

Qualifications & Experience:

  • 35 years of experience in insurance administration, risk management, or related financial operations.
  • Insurance relevant qualification or Bachelor's degree in Business, Finance, Risk Management, or a related field preferred.
  • Demonstrated experience in multi-country or large corporate insurance operations.
  • Strong data management and organizational skills; proficient in Excel, Teams, and document management systems.
  • Knowledge of insurance policy types (GL, Auto, Property, Surety, PI), claims processes, and basic accounting principles.
  • Excellent communication skills for working with cross-functional teams and global contacts.
