Job Description

Job Summary:

The Importation Documentation Specialistis responsible for ensuring that all shipments comply with Philippine customs regulations and international trade laws. This includes preparing and processing import/export documentation, coordinating with government agencies (e.g., BOC), and facilitating timely and cost-effective cargo clearance and delivery.

Key Responsibilities:

  • Prepare and submit the import/export documents in assigned Broker or Forwarder based on the compliance with Bureau of Customs (BOC) regulations.
  • Classify goods using appropriate HS Codes and determine applicable duties, taxes, and tariffs.
  • Coordinate with government agencies (DA, DOH, FDA, DENR, BPI, DTI, etc.) for required clearances and permits.
  • Liaise with freight forwarders, shipping lines, warehouse operators, and customs examiners.
  • Monitor the status of shipments and ensure timely customs clearance and release.
  • Review and verify shipping documents such as Bill of Lading, Commercial Invoice, Packing List, and Certificate of Origin.
  • Maintain accurate and complete records of all import/export transactions.
  • Resolve any issues or discrepancies in documentation or customs declarations.
  • Stay updated on changes in customs laws, procedures, and import/export regulations.
  • Ensure compliance with company and government policies to avoid delays or penalties.

Qualifications:

  • Licensed Customs Broker (Philippines) optional
  • Bachelor's Degree in Customs Administration, Logistics, or related field
  • At least 23 years of experience in customs brokerage or import/export operations (optional)
  • Proficient in BOC systems (e.g., E2M, VASP)
  • Strong understanding of Incoterms, HS classification, and valuation methods
  • Excellent communication and coordination skills
  • High attention to detail and ability to meet tight deadlines
  • Knowledge of international shipping documentation and trade compliance

Preferred Skills:

  • Familiarity with PEZA, Free Trade Agreements (e.g., AFTA, ACFTA )
  • Background in importation of regulated goods (e.g., food, chemicals, electronics, seeds)
  • Experience with logistics ERP systems or customs clearance software
