Job Overview:
We are seeking a highly analytical, system-savvy Import/Export Coordinator to manage and optimize our end-to-end international shipping and logistics pipelines. This critical operational role demands a strong technical foundation in supply chain logistics combined with advanced software proficiency. Acting as the central hub connecting suppliers, freight forwarders, customs brokers, and internal teams, you will ensure 100% regulatory compliance and generate flawless customs documentation. Additionally, you will manage inventory and order tracking across NetSuite ERP and QuickBooks while leveraging advanced Excel capabilities to analyze data and drive operational efficiency.
Schedule and Rate:
- 40 hours per week (Shift to be aligned with client timezone) Plainfield, NJ Timezone
- $1040 USD per month, paid in your local currency
Responsibilities:
Global Shipment Coordination & Logistics (40%)
- End-to-End Tracking: Oversee and coordinate import and export shipments from the point of origin to their final destination, ensuring timely and cost-effective delivery.
- Vendor & Partner Management: Act as the primary liaison with suppliers, freight forwarders, carriers, and customs brokers to secure bookings, schedule pickups, and resolve transit delays.
- Schedules & Discrepancies: Monitor global transit schedules proactively, identifying bottlenecks and resolving logistics issues (e.g., port congestion, customs holds, carrier roll-overs) immediately.
Customs Compliance & Documentation (30%)
- Document Preparation & Audit: Prepare, review, and verify all international shipping and customs documents, including Commercial Invoices, Packing Lists, Bills of Lading (B/L), Certificates of Origin, and customs entry declarations.
- Regulatory Compliance: Maintain a thorough understanding of and compliance with international trade regulations, tariff classifications (HS Codes), customs valuation rules, and local import/export laws.
- Audit Trail Maintenance: Archive and organize all customs filings, tax receipts, and compliance records to ensure a seamless audit trail.
Systems & Inventory Management (30%)
- ERP Data Integrity (NetSuite): Manage, input, and audit inventory transactions, item fulfillments, and purchase order tracking in NetSuite ERP to ensure real-time inventory visibility.
- Financial Alignment (QuickBooks): Reconcile freight invoices, customs duties, and logistics expenses within QuickBooks to maintain accurate financial accounting.
- Data & Analytics (MS Excel): Design, update, and manage complex spreadsheets using VLOOKUPs, INDEX/MATCH, Pivot Tables, and conditional formulas to perform landed cost calculations, track lead times, and audit billing variances.
Requirements:
- Professional Experience: 3+ years of direct experience in Import/Export Coordination, International Logistics, or Supply Chain Operations.
- ERP Proficiency (Mandatory): Hands-on, practical experience working inside NetSuite ERP (order processing, inventory modules) and QuickBooks (billing, invoicing, expense tracking).
- Advanced MS Excel Skills: Mastery of Excel data manipulation tools (VLOOKUP, HLOOKUP, Pivot Tables, data filters, sorting, and reporting) is a hard requirement.
- Regulatory Knowledge: Solid understanding of international shipping terms (Incoterms 2020), customs clearance procedures, and import duties/taxes.
- Problem-Solving Skills: Highly proactive with a proven ability to troubleshoot sudden cargo exceptions, customs delays, or freight rate discrepancies under tight deadlines.
- Communication: Exceptional written and verbal English communication skills, with the ability to maintain strong, professional relationships with international partners.
