Job Summary:
The Import & Purchasing Supervisor oversees all importation and purchasing activities of Lifesports Incorporated. This role leads the day-to-day operations of the Imports & Purchasing team, ensuring that all inbound shipments are processed on time, costs are well-managed, and the company remains compliant with Philippine customs and trade regulations. The Supervisor also drives process improvements, manages supplier and broker relationships, and works closely with senior management to align procurement strategies with business goals.
Qualifications:
- Bachelor's degree in Customs Administration (preferred), Supply Chain Management, Logistics, International Trade, Business Administration, or any related field
- At least 5–7 years of experience in importation and purchasing, with at least 2 years in a supervisory or team lead capacity
- Extensive experience coordinating with freight forwarders, customs brokers, and international suppliers
- Proven track record in managing the full import cycle — from purchase order to customs clearance to warehouse delivery
- Experience in local purchasing and supplier negotiations
- Background in the consumer goods, sporting goods, or distribution/wholesale industry is a strong advantage
- Strong understanding of Philippine import regulations and Bureau of Customs (BOC) procedures
- Well-versed in import documents such as Commercial Invoice, Packing List, Bill of Lading, Certificate of Origin, and customs entry forms
- Solid knowledge of shipping terms (INCOTERMS: FOB, CIF, EXW, etc.) and landed cost computation
- Experience in margin analysis to evaluate product profitability and procurement cost impact
- Knowledgeable in product development processes and able to coordinate with suppliers on new product sourcing
- Knowledgeable in shipment consolidation and the planning of order and shipping schedules
- Experience in managing freight forwarders, customs brokers, and shipping lines
- Knowledgeable in local purchasing, canvassing, and purchase order management
- Proficient in Microsoft Excel and ERP systems (SAP, Navision, or similar)
- Strong leadership, negotiation, and problem-solving skills
- Excellent communication skills — able to coordinate clearly across departments and with external parties
- Highly organized, analytical, and able to manage multiple priorities under pressure
- Flexible and willing to work extended hours when operational needs require it
- Willing to travel locally or internationally for supplier visits or trade events
- Must be willing to work onsite in Pasay / Parañaque (Merville)
Duties and Responsibilities:
1. Team Leadership and Supervision
- Lead, coach, and oversee the daily work of the Imports & Purchasing team.
- Set clear priorities, monitor workloads, and ensure that all team members are meeting deadlines and following standard procedures.
- Conduct regular performance check-ins and support the professional development of direct reports.
2. Importation and Freight Management
- Oversee the end-to-end import process for all Lifesports shipments, from purchase order issuance through customs clearance and final delivery to the warehouse.
- Coordinate with freight forwarders, shipping lines, and customs brokers to ensure timely and cost-efficient movement of goods.
- Review and approve freight bookings, monitor ETAs, and resolve shipment issues or delays as they arise.
- Plan and manage order and shipping schedules to align with stock requirements and business timelines.
- Oversee and coordinate shipment consolidation to optimize freight costs and container utilization.
3. Customs Compliance and Documentation
- Ensure all import shipments are fully compliant with Bureau of Customs (BOC) regulations and applicable government agency requirements.
- Review and approve import documents before submission to brokers for customs filing, and check the accuracy of all shipping documents.
- Keep the team updated on relevant changes in customs regulations, trade policies, and permit requirements that affect the company's product lines.
4. Inventory Monitoring and Procurement Planning
- Regularly check and monitor warehouse inventory levels to identify stock requirements and replenishment needs.
- Propose and place procurement orders based on inventory status, sales forecasts, and lead times.
- Collaborate with the Warehouse and Sales teams to ensure stock availability aligns with operational and commercial demands.
5. Local and International Procurement
- Oversee the sourcing and procurement of both imported and local goods.
- Review and approve purchase orders, ensure suppliers are delivering on agreed terms, and resolve any issues related to quality, pricing, or delivery.
- Maintain a reliable and accredited supplier base for both local and international procurement.
6. Supplier and Cost Management
- Lead negotiations with international and local suppliers, freight forwarders, and brokers on pricing, payment terms, and service levels.
- Review landed cost computations and identifies opportunities to reduce procurement and shipping costs.
- Evaluate supplier performance regularly and recommends improvements or alternatives when necessary.
7. Product Development Support
- Coordinate with suppliers and internal product teams on new product sourcing and development requirements.
- Assist in evaluating product feasibility by providing costing, lead time, and supplier capability data.
- Monitor market trends and supplier offerings to identify new product opportunities relevant to Lifesports product lines.
8. Coordination and Stakeholder Management
- Work closely with the Warehouse, Finance, Sales, and Logistics teams to align on shipment schedules, stock requirements, and budget utilization.
- Report directly to the Vice President and provide timely updates on shipment status, cost performance, and any procurement-related issues that require management attention.
9. Reporting and Process Improvement
- Prepare and present regular reports on import activity, purchasing costs, shipment performance, and team productivity.
- Identify gaps in current processes and implements improvements to increase efficiency, reduce costs, and strengthen compliance.
