We are looking for an Implementation Operations Coordinator to support customer implementations and field operations for a growing SaaS team. This role is focused on execution, systems hygiene, and logistics, not sales or customer support. You will help keep implementation records accurate in HubSpot, coordinate scheduling and travel for on-site visits, maintain clean trackers and documentation, and proactively flag blockers so the implementation team can move quickly and stay aligned.
This is a great opportunity for someone who wants to learn, grow, and build experience in operations, systems, and implementation support within a fast-paced, process-driven environment. You'll work closely with Implementation Managers, gain hands-on exposure to HubSpot and operational workflows, and play a key role in keeping implementations organized, reliable, and on track as the team scales.
Compensation & Perks
Salary Range: Up to 90,000/month (Final offer based on skills and experience matched to role requirements)

What You'll Do
1) Implementation Pipeline Support & HubSpot Hygiene
- Keep customer implementation records accurate and current in HubSpot (primary system of record).
- Ensure key implementation activities are reflected in the right deal stages/statuses so reporting and visibility are dependable.
- Proactively flag missing info, stalled records, or stuck deals for follow-up by the implementation team.
- QA / audit a sample of onboarding or implementation calls to spot talk-track inconsistencies and continuity gaps.
2) Task, Checklist & Template Support
- Keep implementation templates, checklists, and trackers up to date (Google Sheets/Docs + Notion as needed).
- Track task statuses and dependencies across in-flight implementations.
- Flag blockers early and communicate clearly so Implementation Managers can act quickly.
3) Post-Launch Close-Out & System Clean-Up
- Support post-launch close-out steps: confirming completed tasks are marked done, records are closed out properly, and the customer status is reflected correctly in systems.
- Maintain organized project documentation and links so key information can be found quickly.
4) Scheduling & Field Logistics (Day-to-Day Priority)
- Coordinate and schedule on-site customer visits for implementation team members (multi-time zone coordination).
- Manage travel logistics end-to-end: flights, hotels, rental cars, itineraries, and calendar holds (using Ramp and Google Calendar).
- Maintain a simple, reliable visibility system for where field team members are and when (shared calendars + trackers).
What We're Looking For
- Excellent written comms and strong verbal comms, able to coordinate professionally across teams and external parties.
- Strong operational instincts: high attention to detail, consistent follow-through, and comfort with repeatable workflows.
- Proven ability to work independently after ramp, with proactive communication and escalation of risks/blockers.
- Experience with:
- HubSpot (or comparable CRM like Salesforce) and comfort working inside pipelines/stages/records daily, Google Workspace (Calendar, Sheets, Docs), Slack/email
- Comfortable with travel booking / coordination (flights, hotels, rentals) and calendar management.
- Process-driven mindset: able to maintain clean systems and reliable trackers that reduce death by a thousand paper cuts.
Nice-to-Haves
- Experience with Vitally (or CS platforms) and/or working through system sync inconsistencies.
- Familiarity with Attention (call recordings) and documenting learnings from calls.
- Prior experience supporting Implementation / Onboarding / Professional Services / Field teams.
- Experience building/maintaining Notion documentation and SOP libraries.
- Experience working in SaaS / B2B, especially where onboarding/implementation timelines are critical.
- Experience with project management tools (Asana, Monday, Jira, etc.).
