Job Description

JOB DESCRIPTION DETAILS

The HR Operations Specialist is primarily responsible for supporting the efficient delivery of Human Resources operations with a focus on HR administration, compensation and benefits, and payroll processing.

The HR Operations Specialist ensures the accuracy, confidentiality, and timely execution of employee data management, payroll administration, benefits processing, and HR documentation while maintaining compliance with company policies and applicable labor regulations.

In all phases of the role, the HR Operations Specialist is responsible for conducting work in accordance with established HR policies, procedures, service standards, and regulatory requirements.

PRIMARY DUTIES & RESPONSIBILITIES

HR Administration

• Maintain accurate and up-to-date employee records, HR databases, and personnel files.

• Prepare, process, and maintain employment-related documents including employment contracts, employee movements, confirmation letters, and other HR correspondence.

• Support employee onboarding and offboarding administrative requirements.

• Ensure completeness and accuracy of employee information and documentation.

• Respond to employee inquiries related to HR policies, records, and employment documentation.

• Maintain confidentiality of employee information and sensitive HR data.

• Assist in the implementation and improvement of HR policies, procedures, and administrative processes.

Compensation and Benefits Administration

• Administer employee compensation and benefits programs in accordance with company policies and guidelines.

• Process government-mandated benefits and company-sponsored benefit programs.

• Coordinate employee benefit enrollments, updates, claims, and inquiries.

• Liaise with benefits providers, insurance companies, and government agencies regarding employee benefits concerns.

• Maintain accurate records of employee compensation and benefits transactions.

• Support annual compensation reviews, salary adjustments, and benefits administration activities.

• Monitor benefit utilization and provide reports as required by management.

Payroll Administration

• Prepare, validate, and process payroll inputs to ensure accurate and timely payroll administration.

• Verify employee attendance, leave records, overtime, and other payroll-related transactions.

• Ensure payroll data is complete, accurate, and approved prior to payroll processing.

• Process payroll adjustments, deductions, reimbursements, and final pay computations.

• Coordinate with payroll providers and internal stakeholders regarding payroll concerns and discrepancies.

• Generate payroll reports and maintain payroll records in accordance with company policies and statutory requirements.

• Support payroll audits and compliance reviews as needed.

Compliance and Reporting

• Ensure compliance with labor laws, statutory requirements, company policies, and HR operational procedures.

• Prepare and submit required reports related to payroll, benefits, and employee records.

• Support internal and external audits through the provision of required documentation and records.

• Monitor data accuracy and compliance within HR systems and processes.

Stakeholder Support

• Serve as a point of contact for employee inquiries related to payroll, benefits, and HR administration.

• Work closely with employees, managers, finance teams, and external vendors to address HR operational concerns.

• Communicate HR processes, requirements, and updates in a timely and professional manner.

Other Responsibilities

• Support HR projects, process improvement initiatives, and operational activities as required.

• Perform other duties and responsibilities that may be assigned from time to time and are consistent with the scope and level of the role.

QUALIFICATIONS

• Bachelor's Degree in Human Resources, Psychology, Business Administration, Management, or a related field.

• At least 2 years of experience in Human Resources, with exposure to HR Administration, Compensation and Benefits, and Payroll.

• Working knowledge of payroll processing and compensation and benefits administration.

• Familiarity with labor laws, government-mandated benefits, and HR compliance requirements.

• Experience using HRIS, payroll systems, or related HR platforms is preferred.

• Proficiency in Microsoft Office applications, particularly Excel.

• Strong attention to detail and accuracy.

• Excellent organizational and administrative skills.

• Strong analytical and problem-solving abilities.

• Ability to handle confidential information with a high level of integrity and professionalism.

• Excellent interpersonal and communication skills.

• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
