Job Description

Position Summary:

We are seeking an experienced and highly organized HR Specialist to support HR

operations and employee lifecycle programs for a workforce of 300+ employees across US and

Canada.

Key Responsibilities:

• Manage end-to-end onboarding and offboarding processes, including employment

documentation, system updates, employee communications, and coordination

with internal stakeholders.

• Maintain accurate employee records across HRIS, payroll, benefits, and related

systems, ensuring data integrity, confidentiality, and compliance.

• Administer employee benefits programs, support enrollments and changes, liaise

with external providers, and resolve employee inquiries in a timely manner.

• Serve as a primary point of contact for employee questions related to HR policies,

employment documentation, benefits, and HR processes.

• Execute employee lifecycle transactions, including hires, promotions, transfers,

leaves of absence, compensation changes, and terminations.

• Own and manage assigned HR programs and initiatives, ensuring timely execution,

stakeholder communication, issue resolution, and successful delivery of outcomes.

• Develop, maintain, and continuously improve HR processes, documentation,

templates, trackers, standard operating procedures, and employee-facing

resources.

• Prepare HR reports, dashboards, audits, and workforce metrics, ensuring accuracy

and providing actionable insights to support decision-making.

• Ensure compliance with applicable employment legislation, company policies,

record retention requirements, and audit standards across HR processes.

• Partner with HR leadership on special projects, process improvements, employee

experience initiatives, and other strategic priorities as required.

Qualifications:

• 3–5+ years of progressive experience in Human Resources, HR or People

Operations.

• Demonstrated experience supporting and managing HR operations for a workforce

of 200+ employees.

• Strong knowledge of HR administration, employee lifecycle management, benefits

administration, HR compliance, and employment documentation requirements.

• Experience working with HRIS, payroll systems, applicant tracking systems, and

digital workflow tools.

• Advanced proficiency with Microsoft Office, particularly Excel, and/or Google

Workspace.

• Strong organizational, and prioritization skills, with the ability to manage multiple

initiatives simultaneously.

• Exceptional attention to detail and commitment to accuracy.

• Excellent written, verbal, and interpersonal communication skills.

• Proven ability to work independently, exercise sound judgment, and take ownership

of deliverables from initiation through completion.

• Ability to handle sensitive and confidential information with discretion and

professionalism

Preferred Qualifications:

• Experience supporting a distributed workforce across multiple U.S. states and Canadian provinces and territories.

• Working knowledge of U.S. employment laws and familiarity with employment practices across the United States.

• Working knowledge of Ontario employment legislation and familiarity with employment practices across Canada.

• Experience contributing to process improvement initiatives and cross-functional projects.

• Experience supporting organizations in technology, AI, data services, professional services, or project-based workforce environments.
