Job Overview:

The Junior HR Specialist supports the daily HR and administrative needs of the local site. The role assists with recruitment, onboarding, employee records, attendance, payroll coordination, employee engagement and other Site HR activities while supporting the HR Manager with regional HR requirements.

Key Responsibilities:

Recruitment and Onboarding

  • Support job postings, candidate screening, interview scheduling and recruitment documentation.
  • Coordinate pre-employment requirements, background checks and medical examinations.
  • Prepare employment documents, onboarding plans, employee files and induction materials.
  • Coordinate new-hire orientation and ensure that onboarding requirements are completed.
  • Support employee offboarding, clearance and exit documentation.

Site HR Administration

  • Maintain complete and accurate employee records, personnel files and HR-system information.
  • Monitor attendance, leave, overtime, tardiness and timesheets.
  • Prepare and submit accurate attendance and employee data for payroll processing.
  • Respond to employee questions about HR policies, benefits, attendance and company procedures.
  • Help prepare employment contracts, certificates, HR letters, job descriptions and other documents.
  • Monitor probationary periods, contract expiration dates and required performance reviews.
  • Support employee-benefit administration, including HMO enrolment and updates, where applicable.
  • Maintain confidentiality when handling employee and company information.
  • Help prepare meeting records, notices and supporting documents under the HR Manager's guidance.
  • Promote a professional, respectful and positive working environment.

HR Compliance and Reporting

  • Maintain required HR records and support compliance with company policies and local employment regulations.
  • Prepare regular reports on headcount, attendance, leave, recruitment and other HR activities.
  • Help monitor completion of performance evaluations, training records and mandatory HR documents.
  • Assist in updating HR procedures, forms and templates.

Regional and Office Support

  • Assist the HR Manager with recruitment and HR administration for other countries when required.
  • Assist with employer-branding, employee surveys and other HR projects.
  • Perform other HR and administrative duties assigned by the HR Manager.

Key Requirements:

  • Bachelor's degree in Human Resources, Business Administration, Psychology or a related field.
  • At least one to two years of experience as an HR Assistant, HR Administrator or in another relevant HR or administrative position. Fresh graduates with relevant internship experience may also be considered.
  • Good administrative and organizational skills.
  • Strong attention to detail and ability to maintain accurate records.
  • Effective written and verbal communication skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Ability to present information and data clearly and logically.
  • Proficiency in Microsoft Office, particularly Word, Excel, PowerPoint and Outlook.
  • Basic knowledge of employment law and standard HR practices.
  • Professional, discreet and able to handle confidential information.
  • Willingness to learn and work with employees and stakeholders from different countries.
