Interrupt Media is a 40+ person demand generation marketing agency that's headquartered in San Francisco, California. Since 2014, we've provided flexible full-service marketing services and support for clients all over the globe. Our collaboration with marketing teams encourages CEO's, and VP's and Directors of Marketing to act more nimbly and stand toe-to-toe against their competition.

Brass Animals is a one-of-a-kind musical experience that combines traditional New Orleans-style brass band music with modern hits. Our troupes have performed at a wide range of events and have collaborated with notable clients like the Chicago Blackhawks, Good Day Chicago, Google, Salesforce, and Marriott International. 

We are seeking a detail-oriented HR Coordinator to support and stabilize the two companies that our CEO is running, Interrupt Media & Brass Animals with an AI forward approach. This role focuses on executing structured HR workflows, maintaining accurate systems, and ensuring timely coordination across hiring, onboarding, and HR operations.

Core Responsibilities

1. Recruitment Operations

Manage job postings across LinkedIn, Upwork, and other platforms

Screen and progress candidates within defined 24–48 hour SLAs to ensure no delays in the hiring pipeline. Oversee the buildout of the automation of this process.

Maintain a clean, structured hiring pipeline using ATS or internal trackers. Oversee the buildout of the automation of this process.

Coordinate interviews and scheduling to ensure a smooth and timely process. Oversee the buildout of the automation of this process.

Ensure consistent and professional communication with all candidates

2. Hiring Pipeline Management

Track candidate movement across all stages with full visibility into pipeline status

Identify bottlenecks in the hiring process and escalate proactively

Maintain accurate and up-to-date records of all applicants and hiring stages

3. Onboarding & Offboarding Execution

Execute onboarding end-to-end, ensuring all documentation (contracts, W9s, etc.) is completed prior to start date

Maintain accurate employee and contractor records across all systems

Coordinate structured and complete offboarding processes

4. SOPs & Process Management

Maintain and update HR SOPs to ensure consistency across all workflows

Ensure all hiring and HR processes are followed and properly documented

Identify gaps or inefficiencies and recommend improvements

5. Training & Onboarding Program Support

Support development and coordination of onboarding programs for new hires

Ensure all new hires complete onboarding steps and training requirements

Maintain and update onboarding documentation and training materials

Identify gaps in onboarding or training processes and flag improvements

Coordinate internal training sessions and track completion

Develop Career skills development program and implement among all team members

6. HR Systems & Data Management

Maintain HR systems and trackers (Claude, Loveable, Glean, Accelo, Rippling, Airtable, etc.) with high accuracy

Ensure data integrity across HR, payroll, and contractor records

Support reporting processes and ensure alignment with finance and operations

7. AI-Driven HR Operations

Leverage AI tools (Claude, automation workflows) to improve candidate screening, workflow efficiency, and overall HR operations

Identify opportunities to automate repetitive tasks and reduce manual work

8. Coordination & Communication

Act as the execution layer between HR, Operations, and Leadership

Provide regular updates on hiring progress, blockers, and next steps

Maintain responsiveness and clear communication across Slack and internal systems

What Success Looks Like (First 30–60 Days)

  • Fully organized and visible hiring pipeline
  • All candidates processed within SLA timelines
  • Structured onboarding system with no gaps or missing documentation
  • Clean, accurate HR records across all systems
  • No delays in hiring or onboarding workflows

Qualifications

  • 4–6 years experience in HR coordination or recruiting operations
  • Strong organizational and execution skills
  • Experience with ATS systems and onboarding workflows
  • Deep experience using AI tools and automation
  • High responsiveness and attention to detail
