Position Title: HR Administrator
Department: Human Resources
Reports To: Senior HR Coordinator
Salary range: ₱35,000 - ₱55,000/month
Location: Flexible / Multi-Location Support (Australia, Fiji, Philippines, India)
Position Purpose
The HR Administrator provides administrative and operational support to the Senior HR Coordinator in delivering efficient and consistent Human Resources services across the organization. The role is responsible for supporting recruitment, onboarding, employee experience, workforce coordination, training administration, HR reporting, and compliance activities.
This position acts as a key coordination point between employees, leaders, candidates, and external stakeholders, ensuring HR processes are completed accurately, on time, and in accordance with company policies and procedures.
Key Responsibilities
1. Recruitment & Talent Acquisition
•Coordinate recruitment activities across all business locations.
•Prepare and post job advertisements on approved recruitment platforms.
•Screen applications against role requirements and maintain candidate shortlists.
•Schedule and coordinate interviews with hiring managers and candidates.
•Maintain applicant tracking systems, recruitment pipelines, and candidate databases.
•Conduct reference checks and support pre-employment verification activities.
•Assist with candidate communications throughout the recruitment lifecycle.
•Support workforce planning initiatives through recruitment tracking and reporting.
•Provide recruitment status updates to hiring managers and the Senior HR Coordinator.
2. Onboarding & Employee Experience
•Coordinate onboarding activities for all new employees.
•Prepare and manage employment documentation and onboarding paperwork.
•Ensure all onboarding requirements are completed accurately and within required timeframes.
•Schedule induction sessions, training programs, and onboarding meetings.
•Maintain onboarding checklists and employee records.
•Monitor probation review schedules and follow up on outstanding actions.
•Support employee engagement, recognition, and wellbeing initiatives.
•Assist with employee communications and workplace experience programs.
3. Performance & Workforce Coordination
•Maintain performance review schedules and tracking registers.
•Monitor review due dates and provide reminders to managers and employees.
•Maintain performance management records and documentation.
•Assist with workforce planning and staffing coordination activities.
•Track workforce capacity, staffing requirements, and resource allocation information.
•Support management in monitoring workforce trends and staffing needs.
•Escalate overdue reviews, staffing concerns, and workforce risks when required.
4. Training & Development
•Coordinate internal and external learning and development programs.
•Schedule training sessions and manage participant registrations.
•Maintain training attendance records and compliance registers.
•Monitor mandatory training requirements and completion rates.
•Assist with the maintenance of professional development records.
•Support the implementation of learning and development initiatives.
•Prepare training and compliance reports for management review.
5. HR Reporting & Administration
•Maintain accurate employee records, HR systems, databases, and documentation.
•Prepare weekly, monthly, and ad hoc HR reports.
•Track recruitment metrics, turnover, absenteeism, leave, onboarding, and workforce data.
•Support policy implementation and HR compliance activities.
•Assist with HR audits and documentation reviews.
•Support HR process improvement and automation initiatives.
•Maintain HR templates, forms, registers, and administrative records.
•Ensure data integrity, confidentiality, and compliance with company requirements.
6. Leadership Support & Follow-Up
•Track outstanding HR actions, deadlines, and management follow-ups.
•Monitor completion of recruitment, onboarding, training, and performance management activities.
•Prepare workforce dashboards and management reports.
•Assist in compiling information for leadership meetings and business reviews.
•Escalate recruitment delays, workforce concerns, compliance risks, and staffing issues as appropriate.
•Support the Senior HR Coordinator with projects, initiatives, and organizational priorities.
Qualifications & Experience
Essential
•Bachelor's Degree in Human Resources, Business Administration, Psychology, Management, or a related field.
•Minimum 2-3 years of experience in Human Resources, Recruitment, Talent Acquisition, Workforce Coordination, or a similar administrative role.
•Excellent written and verbal English communication skills.
•Strong organizational, planning, and administrative capabilities.
•Ability to manage multiple priorities and deadlines in a fast-paced environment.
•Strong attention to detail and commitment to accuracy.
•Ability to maintain confidentiality and handle sensitive information professionally.
•Intermediate to advanced Microsoft Office and Microsoft 365 skills.
Preferred
•Experience supporting remote or internationally distributed teams.
•Experience within professional services, financial services, business services, outsourcing, BPO, or corporate environments.
•Experience using HRIS, HRMS, ATS, or workforce management systems.
•Proficiency with Microsoft Teams, SharePoint, Planner, Forms, Power Automate, and Excel.
•Experience coordinating recruitment and onboarding across multiple locations.
•Experience in HR reporting, workforce analytics, and process improvement initiatives.
