Role Description

We are looking for a highly organized HR & Accounting Associate to support daily HR operations and accurate financial record-keeping. This is an execution-focused role that works closely with the HR Manager and CEO to maintain clean trackers, ensure smooth people operations, and perform proper bookkeeping for the company.

You will NOT be responsible for tax filing we have an accountancy firm handling quarterly and annual statutory submissions. Your main responsibility is to keep company records clean, updated, and accurate.

Key Responsibilities

HR Operations

  • Maintain accurate and updated employee records, contracts, and HR files.
  • Support recruitment logistics: sourcing assistance, interview scheduling, candidate coordination.
  • Manage onboarding and offboarding using checklists and documentation standards.
  • Track attendance, leaves, overtime, and prepare monthly timekeeping summaries for payroll.
  • Assist in coordinating employee benefits, memos, and simple HR policy updates.
  • Prepare monthly HR reports: KPIs, headcount updates, hiring status, and payroll support files.
  • Help maintain an organized, positive, and professional working environment.

Accounting & Bookkeeping

  • Perform proper bookkeeping using the company's accounting system (QuickBooks or similar).
  • Record daily transactions accurately (expenses, reimbursements, vendor bills, petty cash).
  • Maintain AP/AR trackers and assist in simple reconciliations.
  • Prepare weekly and monthly summary reports for management.
  • Keep financial documentation properly filed, labeled, and up to date.
  • Coordinate with the external accounting firm and provide them with complete and accurate records for tax processing.
  • Ensure HR and finance trackers (Sheets/Excel) are clean, consistent, and audit-ready.
  • Support compliance with internal company policies and basic labor/finance requirements.

Requirements

  • Bachelor's degree in Business Administration, Accounting, HRM, or a related field.
  • Minimum 2 years experience in HR operations or accounting support, with solid bookkeeping experience.
  • Proficiency in Excel or Google Sheets (formulas, organization, formatting).
  • Experience with accounting software (QuickBooks, Xero, or similar).
  • Strong organizational skills and high attention to detail.
  • Good communication skills in English and Tagalog.
  • Ability to handle confidential information with professionalism.
  • Punctual, reliable, and able to meet deadlines consistently.
  • Open-minded, process-driven, and comfortable working in a fast-paced environment.
  • Experience preparing payroll inputs, coordinating government contributions, or managing employee files is an advantage.
  • Exposure to recruitment coordination or HR administration is a plus.
