HR Operation Specialist

I. Position Summary

We are looking for a detail-oriented and culturally agile HR Operation Specialist to join our team. As a key supporter of the Organizational & Talent Development (OTD) function, you will be responsible for executing processes related to organizational development and talent training. You will ensure the smooth operation of training programs, performance management, and corporate culture activities.

Crucially, this role requires fluency in both Mandarin and English to effectively bridge the communication gap between local Filipino employees and Chinese management/Headquarters.

II. Key Responsibilities

  1. OD Operations & Training Support
  • Training Implementation: Assist in managing end-to-end logistics for the annual training plan, including venue booking, material preparation, participant invitations, and attendance tracking.
  • LMS Management: Maintain the Learning Management System (LMS) by uploading course content, tracking employee learning progress, and generating monthly training data reports.
  • Vendor Management: Assist in screening external training providers and handle contract signing, payment processing, and service evaluation.
  • Asset Management: Responsible for asset registration, lending, inventory checks, and maintenance to ensure compliant use and accurate records.
  1. Culture & Engagement
  • Culture Implementation: Assist in translating core corporate values into tangible activities or promotional materials (e.g., Posters, Newsletters).
  • Employee Communication: Serve as a bridge between OD team and local employees; collect employee feedback on OD projects and propose improvements.
  1. General HR Operations
  • Maintain employee training records databases.
  • Assist with departmental administrative tasks and budget reimbursements.
  1. Cross-Department & Regional Collaboration
  • Collaborate with departments, HRBPs, and external vendors to drive project synergy.
  • Fil-Chi Context: Support the alignment of processes, work pace, and execution styles between Chinese and Filipino teams.
  • Assist in communicating project rules, progress, and important notices to minimize execution deviations.

III. Job Requirements

  • Education: Bachelor's degree or higher in Human Resources, Psychology, Business Administration, or related fields.
  • Language Skills:
  • Mandarin: Fluent (Listening, Speaking, Reading, Writing); capable of using it as a working language to communicate with management.
  • English: Proficient/Excellent; capable of using it as the primary working language for drafting official documents and training materials.
  • Plus: Proficiency in Tagalog.
  • Experience:
  • 1-3 years of HR-related experience; experience in Training, Organizational Development (OD), or Employee Relations (ER) operations is preferred.
  • Experience working in a Philippines-based Chinese company, Multinational Corporation (MNC), or BPO industry is highly preferred.
  • Core Skills:
  • Proficient in MS Office (Excel, PowerPoint), with strong skills in data processing and chart creation.
  • Excellent project coordination and event organization skills.
  • Strong cross-cultural empathy, with an understanding of the differences between Chinese and Filipino workplace cultures.

IV. Key Competencies
