Location: Cebu, Philippines
Work Arrangement: Hybrid, Full-time
Shift: Monday - Friday | 7:00 AM - 4:00 PM PHT

We are looking for a process-driven Human Resource Administrator to provide essential HR administrative support within a shared services team. Operating under a structured hybrid model where Mondays are designated as a work-from-home (WFH) day and the remainder of the week is spent working onsite at our modern office facility, your primary focus will be ensuring the accurate and timely preparation of employment-related documentation across various operational sites while maintaining maximum consistency, compliance, and process efficiency.

Your Impact

  • End-to-End Documentation & Systems: Prepare and process employment documentation, including contracts, variation letters, and payroll-related forms. Maintain HR systems and employee records to support absolute data accuracy, compliance, and strict record-keeping requirements.
  • Recruitment & Onboarding Coordination: Provide direct administrative support for end-to-end recruitment processes through systems like HIVE. Coordinate onboarding and offboarding activities, ensuring all required documentation is completed accurately and on time.
  • Shared Services Desk Operations: Act as the primary point of contact for HR administrative inquiries. Ensure consistent triage, logging, and tracking of requests via the shared services desk while adhering to the agreed service catalogue rules (offshore vs. onshore/site HR).
  • SLA & Escalation Management: Meet strict Service Level Agreements (SLAs) for response and resolution times, prioritizing cases by urgency. Follow defined escalation pathways for unresolved or time-critical matters to the appropriate HR, payroll, or system owners.
  • Data Management & Reporting: Distribute leave liability, ELMO reports, and other required monthly data for action. Produce detailed reporting of work completed per site per month, tracking metrics like volumes, turnaround times, backlog, and first-contact resolution rates.
  • Compliance, Privacy & Knowledge Base: Maintain accurate case notes, templates, and document control. Ensure absolute confidentiality and data privacy during the secure handling, storage, and transfer of employee information. Contribute to an internal knowledge base (FAQs, process guides) to improve first-contact resolution.
  • Operational Drive & Stakeholder Agility: Manage stakeholder expectations, multitask effectively under pressure, and build strong relationships across the business. Proactively navigate the challenges of responding to contentious issues and demands while partnering with onshore teams to reduce process rework and optimize support workflows.

What You Bring

  • The Credentials: Completion of an HR Diploma or a business-related Human Resources Degree.
  • The Experience:2-3 years of experience in a similar HR administrator or shared services role with a proven track record of maintaining a professional approach and absolute confidentiality at all times.
  • Technical Mastery: High systems proficiency, with experience using specialized HR platforms, recruitment systems, and shared services ticketing tools.
  • Operational Excellence: Excellent time management, organizational skills, and an uncompromising attention to detail to ensure accurate and up-to-date corporate records are maintained amid multiple tasks and interruptions.
  • Communication Prowess: Well-developed verbal and written English communication skills, essential for providing clear updates, drafting employment letters, and collaborating with cross-border stakeholders.
