About the Role
We are seeking a Workforce Management (WFM) HubSpot Specialist who will be directly responsible for building dashboards, running analytics, and executing data-driven improvements inside HubSpot. This role requires hands-on expertise in HubSpot CRM, workflows, automation, and analyticswith strong Excel skills for advanced reporting and deeper data analysis to support workforce planning and operational efficiency.
Key Responsibilities:
HubSpot CRM Ownership
- Manage and optimize HubSpot to support workforce and operational requirements.
- Ensure data cleanliness, consistency, and accuracy across the CRM.
- Configure pipelines, fields, and properties to align with workforce tracking needs.
Hands-On Dashboard Creation & Analytics
- Build, customize, and maintain HubSpot dashboards to track workforce KPIs (capacity, SLA, utilization, productivity, task completion, etc.).
- Use Excel (pivot tables, advanced formulas, charts, and data modeling) to perform deeper analytics and create custom workforce reports.
- Translate data insights into practical recommendations and action plans for workforce optimization.
- Present findings in a clear, actionable way for leadership and operations teams.
Automation & Process Execution
- Design and implement HubSpot workflows and automation to streamline scheduling, task distribution, and workforce monitoring.
- Actively manage automation processes to reduce manual work and increase operational efficiency.
- Test, refine, and optimize existing workflows for accuracy and impact.
Collaboration & Training
- Work closely with WFM/operations leaders to understand requirements and build HubSpot + Excel solutions that solve real workforce challenges.
- Provide training and ongoing support for teams on HubSpot dashboards, reports, and analytics.
- Troubleshoot and resolve HubSpot-related issues promptly.
Qualifications
- Bachelor's degree in Business, Operations, IT, or related field (preferred).
- Marketing Operations/management background (preferred not required)
- HubSpot Certified (completed HubSpot Academy training and certified by HubSpot)
- 2+ years of proven experience working hands-on in HubSpot CRM.
- Strong background in building dashboards, running analytics, and executing data-driven improvements in HubSpot.
- Advanced Excel proficiency: pivot tables, VLOOKUP/XLOOKUP, conditional formulas, charts, and data visualization.
- Skilled in workflows, automation, pipelines, and property management.
- Strong analytical and problem-solving abilities with attention to detail.
- Familiarity with workforce or operations metrics is an advantage.
- Experience integrating HubSpot with other tools (WFM, project management, analytics platforms).
- Excellent communication skills, with the ability to present complex data simply.
- Has own WFH equipment (laptop, noise cancelling headset).
