About the Role:
We are seeking a detail-oriented and highly organized HRIS & Workforce Data Specialist to manage employee records across ADP and Deputy. This role is responsible for ensuring data integrity, supporting onboarding and offboarding processes, and maintaining audit-ready records at all times.
This position starts at 20 hours per week but requires full-time presence. You must be available during standard PST business hours to support onboarding and HR operations in real time. There is potential for hours to scale up depending on business needs.
Responsibilities:
HRIS & Workforce System Management
- Maintain and update employee profiles in ADP and Deputy
- Process employee lifecycle changes: new hires, terminations, rehires, transfers, position and wage changes
- Ensure salary and status updates are reflected accurately across both systems
- Identify and correct discrepancies during audits and annual reporting cycles
- Maintain clean, consistent, and audit-ready employee records
Onboarding & Offboarding Support
- Coordinate new hire system setup in ADP and Deputy
- Enter new hire details and manage employee profile creation
- Capture and file I-9 compliance documentation electronically
- Communicate professionally with hiring managers and new hires via email
- Process terminations, update termination dates and reasons
- Ensure terminated employees are properly reflected in payroll trackers
- Maintain internal tracking documents for transparency and collaboration
Qualifications
- Experience with ADP, Deputy, or similar HRIS/workforce systems
- Prior experience in HR operations, payroll administration, or workforce data management strongly preferred
- Strong attention to detail and ability to maintain data accuracy across multiple systems
- Comfortable handling confidential employee information
- Ability to work independently and manage time effectively
- Must be available MondayFriday, 9:00 AM to 1:00 PM PST (night shift for PH-based applicants)
