The Onboarding Team Lead is responsible for overseeing the onboarding process for new officers and staff hires at both the head office and branches. He/She ensures a seamless experience for new employees while supervising and monitoring the productivity of team members.
Key Responsibilities
Onboarding Coordination
- Coordinate closely with new hires and internal teams to ensure all pre-employment requirements are completed on time
- Work closely with HR, IT, and other departments to ensure a seamless onboarding experience.
- Collaborate with recruiters to ensure candidates meet all requirements, confirm onboarding dates, and address any related matters
- Collaborate with hiring managers to ensure all hiring details for new hires are accurately communicated and documented
- Coordinate with accredited vendors for results of medical, background checks, and other hiring-related requirements
- Follow up with new hires who have incomplete employment requirements
Documentation Management
- Review and ensure that all employment requirements are accurately completed and submitted in the system (RHEA)
- Ensure that all submitted employment requirements are stored either in the HR System or in SharePoint, whichever is applicable
- Monitor the submission of incomplete employment requirements and ensure they are submitted by the new hire's committed date
- Update trackers and other reporting platforms
New Hire Support
- Provide basic training and troubleshooting assistance to new hires for uploading requirements in the HR system (RHEA)
- Assist new hires in completing the necessary forms and documentation
- Serve as the point of contact for new employees, addressing any questions or concerns during the onboarding process
- Schedule and conduct onboarding sessions, including New Employee Orientation (NEO) and NEO Cap-Off
Supervision and Team Management
- Track and ensure the timely completion of all onboarding tasks, initiatives, and projects assigned to the team
- Design and implement performance metrics that align with the Recruitment Head's strategic goals.
- Monitor and evaluate the performance of team members based on agreed metrics
- Conduct regular meetings and check-ins to discuss progress, address issues, and provide support where needed
Reports and Records
- Review all onboarding-related reports
- Conduct in-depth analysis of onboarding reports to identify trends, bottlenecks, and areas for improvement
- Utilize data-driven insights to refine and optimize recruitment and onboarding procedures
- Maintain organized records of onboarding reports for auditing and reporting purposes
Others

Qualifications
- Bachelor's degree in Human Resources, Business Administration, or related field
- Proven experience in onboarding, recruitment, or HR operations
- Strong program management skills with ability to oversee multiple initiatives and drive results
- Leadership and team management experience
- Excellent organizational and documentation management abilities
- Proficiency in HR systems (e.g., RHEA) and reporting tools
- Strong communication and interpersonal skills for cross-functional collaboration
- Analytical mindset with ability to interpret data and implement process improvements
