Job Description

Position Overview

The HR Systems Administrator plays a key role in supporting the Global HR Systems Administrator in the optimisation, and ongoing support of the group's HR technology solutions, including SAP SuccessFactors and Litmos LMS applications across the IPH Group. This position will have technical and functional expertise, responsible for amending configuration, maintaining, and enhancing the HR systems under the guidance of the Global HR Systems Administrator to ensure a seamless experience for HR teams, employees, and leaders. The HR Systems Administrator collaborates closely with HR, IT, payroll, and other internal stakeholders to support business processes, ensure data integrity, and support the drive for continuous improvement in HR technology.

Key Responsibilities

System Administration

• Support and maintain SAP SuccessFactors modules (e.g., those already launched Employee Central, Performance & Goals, Recruitment, Onboarding, future SAP SuccessFactors modules anticipated for roll out include Compensation).

• Maintain Litmos learning management system as the primary system administrator and support the integration between SuccessFactors and Litmos for master data transfer.

• Oversee end-to-end Litmos user management including user provisioning, group assignments/permissions set up, and user configuration to meet member firm and group wide requirements.

• Support the creation of new training content, learning paths and recipients, including learning content configuration, content upload and automatic triggers/emails within Litmos to drive adoption of the LMS across the group.

• Support the configuration and update of system settings, workflows, business rules, and security permissions to align system functionality with organisational requirements.

• Under guidance manage user access, roles, and permissions to ensure data security and compliance ensuring correct approvals in advance.

• Monitor system performance, troubleshoot issues, and coordinate with the Global HR Systems Administrator and/or other vendors as directed to resolve technical problems.

• Support with SAP SuccessFactors/Litmos releases and feature enhancements ensuring IPH is prepared for all changes.

Data Management & Integrity

• Ensure accuracy, integrity, and confidentiality of HR data through regular audits, data validation, and clean-up processes aligned to employee life cycle movements across SAP Success Factors and Litmos learning management systems.

• Support with data imports, exports, and integrations with other enterprise systems (e.g., payroll, benefits, finance, other learning platforms etc.).

• Enforcement of data governance policies and procedures.

• Address and resolve data discrepancies in a timely and efficient manner.

Reporting & Analytics

• Design, generate, and distribute standard and ad hoc reports, and metrics (including dashboard creation) to support HR teams.

• Collaborate with HR teams to identify reporting needs and automate the process and dashboards where possible.

• Support report catalogue maintenance and ensure compliance with data privacy regulations.

Process Improvement & Optimisation

• Collaborating with the Teams to understand HR and business needs and work with the Global HR Systems Administrator on system configuration additions or enhancements to achieve goals.

• Identify opportunities for system enhancements and process automation to increase efficiency and effectiveness of HR operations.

• Support with HR systems projects, including system upgrades, new module implementations, and process redesigns.

• Support with the documentation of and changes to HR processes, policies, and system configurations.

User Support & Training

• Serve as the primary point of contact during the assigned shift for HR systems related queries, providing guidance and troubleshooting support to HR staff and end-users or escalation where required.

• Support the development and delivery of training materials for HR users in consultation with the Global HR Systems Administrator and IPH L&D function.

• Support with new admin user onboarding and ongoing learning to drive adoption and system proficiency.

Compliance & Security

• Ensure you are always acting in accordance with relevant legal and regulatory requirements related to HR data and system access (e.g., GDPR, local legislation).

• Support periodic audits of system access, data privacy, and information security.

• Support with maintenance of documentation for system configuration, change management, and compliance activities.

Vendor Liaison

• As directed, work with SAP SuccessFactors/Litmos and third-party vendors for system updates, enhancements, support, and issue resolution.

• Stay abreast of new features, releases, and best practices for SuccessFactors modules.

• Support the ongoing evaluation of add-ons and integrations to maximise system value.

Experience and Qualifications

• 2-3 years of firsthand experience supporting administration and configuration related to SAP SuccessFactors and Litmos LMS platforms or similar.

• Exposure to HR processes, data management, and HR systems best practices.

• Proficiency in system configuration, troubleshooting, and reporting tools.

• Understanding of data privacy, compliance, and information security standards.

• Strong analytical and problem-solving skills, with diligence and data accuracy.

• Excellent written and verbal communication skills.

• Ability to manage multiple projects and priorities effectively.

• Strong customer service orientation with a collaborative approach.

• Ability to work independently and as part of a cross-functional team.

• Experience with HR system integrations, middleware, and APIs is an advantage.

• Background in supporting project management activities or participation in system implementation projects is an advantage.

• Working knowledge of additional HR technologies (e.g., payroll) preferred.
