Job Summary:
Highly knowledgeable and detail oriented Human Resources professional specializing in US HR practices and compliance. In this role, you will manage day-to-day HR operations for our US-based workforce (including remote employees), ensuring full alignment with federal, state, and local labor laws. The ideal candidate will possess deep expertise in navigating complex US compliance frameworks, managing benefits, and leveraging modern HR technology to streamline operations.
Key Responsibilities:
- Multi-State US Labor Compliance: Proactively monitor, interpret, and enforce absolute compliance with federal, state, and local regulations (including FLSA, FMLA, ADA, EEO, and OSHA). Actively track and implement changing mandates in high-scrutiny and evolving jurisdictions (such as CA, NV, and OR).
- Full Lifecycle Employee Management: Manage the end-to-end lifecycle for US employees and contractors—from drafting compliant offer letters and executing background checks/Form I-9 verifications to administering structured, legally compliant offboarding and exit processes.
- Payroll & Benefits Administration: Oversee or collaborate on semi-monthly/monthly US payroll processing. Administer company-sponsored health, retirement (401k), and wellness benefits programs, serving as the primary liaison with US brokers.
- Employee Relations & Policies: Act as the trusted point of contact for employee inquiries regarding company policies, leave of absence requests, and conflict resolution. Maintain and update the US Employee Handbook.
- HR Data Management: Maintain pristine digital records of employee files, ensuring data privacy, compliance and relevant data protection mandates.
Job Qualifications & Requirements:
Education & Experience
- Degree: Bachelor's degree in Human Resources, Business Administration, or a related field.
- Experience: 5+ years of dedicated experience managing HR operations specifically for a US workforce (experience with distributed/remote teams across multiple US states is highly preferred).

- Multi-State Compliance & Scaling: Proven track record of navigating complex, overlapping state and local regulatory landscapes, specifically targeting high-scrutiny jurisdictions (e.g., CA) regarding wage and hour, pay transparency, and localized leave laws.
- Policy Localization: Experienced in auditing, adapting, and scaling corporate handbook policies and employment agreements to align with shifting state-specific mandates without disrupting company culture.
- Exceptional communication and interpersonal skills, with a high degree of emotional intelligence and confidentiality.
- Strong organizational skills with an ability to manage multi-state compliance nuances simultaneously.
- Demonstrated experience delivering HR compliance guidance across employee relations, investigations, performance management, or organizational development
- Proven ability to advise executives, partners and managers on sensitive employment matters, and flex your communication style to the audience
- Experience managing workplace investigations end-to-end, including situations with contested facts and legal exposure
- Strong command of federal employment law — such as EEOC, ADA, FMLA, HFLL, wage and hour and the ability to apply it practically under time pressure
- Written and verbal communication skills to make complex regulatory guidance accessible to non-HR audiences
- Strong analytical and critical thinking, with the ability to think broadly and make connections across multiple programs and processes.
- Ability to comprehend, interpret, and apply the appropriate sections of applicable laws, guidelines, regulations, ordinances, and policies.
- Strong initiative and the ability to work independently at times.
- Ability to work across multiple business functions and levels of the organization.
- Ability to maintain confidentiality and handle sensitive information.
Technical & Software Proficiency - Ideal but not required
- HRIS & Payroll Platforms Experience with ADP Workforce Now, Gusto, Rippling, Paylocity, or BambooHR for payroll processing, employee data housing, and automated tax filings.
- Benefits & Leave Management Hands-on experience with benefit administration portals for handling 401(k), FSA/HSA, and health insurance.
- Collaboration & Document Management Mastery of Google Workspace or Microsoft Office Suite, alongside secure e-signature tools like DocuSign for employment agreements.
