About the Role

The HR Operations Specialist is the Engine Room of our people department. While many HR roles focus on high-level strategy, this role focuses on the Employee Journey, ensuring that every interaction an employee has with the company is seamless, professional, and supportive.

You aren't just managing tickets in the ticketing tool; you are managing people's peace of mind. Whether it's clarifying a policy via email, checking in on a team member's wellbeing, or ensuring a contract is renewed on time, your work directly impacts employee retention and trust. You will bridge the gap between company policy and the human experience, making sure our administrative gears turn smoothly behind the scenes.

What you'll do

As our HR Operations Specialist, your week will be a mix of high-touch communication and high-focus administration. Here is exactly what you will be doing:

  • Manage the Help Desk: You will own the HR inbox and Zoho ticket queue. You'll be the voice of the company, answering questions like How do I update my tax info or Where can I find the holiday schedule with a helpful and professional tone.
  • Drive Employee Check-ins: You won't wait for problems to arise. You will proactively schedule and lead 1-on-1 check-ins to see how employees are settling in, identifying potential issues before they become fires.
  • Draft Legal & Admin Paperwork: You will be the architect of our internal documents. From drafting Contract Renewals to issuing Notices of Personnel Action (NPA) for promotions or transfers, you ensure every document is legally sound and error-free.
  • Maintain the Source of Truth: You will manage our HRIS. Every time someone gets a raise, changes addresses, or changes roles, you are the one ensuring the system reflects that change immediately.
  • Issue Official Certifications: You will handle requests for Certificates of Employment (COE) and other employment verifications, ensuring employees get what they need for bank loans or visa applications promptly.
  • Track Milestones: You will keep a close eye on the calendar, ensuring no contract expires without a renewal notice and no work anniversary goes unrecognized.
  • Liaise with Departments: You will work closely with Department Heads to confirm personnel changes and ensure that the administrative side of their team management is handled smoothly.

Other Tasks & Responsibilities

While the core of your role is defined, HR is a dynamic field. From time to time, you will also:

  • Special Projects: Assist the HR Manager with ad-hoc projects such as policy manual updates, salary benchmarking research, or culture-building initiatives.
  • Audit Support: Prepare documentation and reports for annual labor audits or internal compliance reviews.
  • Event Coordination: Provide administrative support for company-wide meetings, town halls, or team-building activities.
  • Process Documentation: Create How-To guides for new HR processes to help maintain a knowledge base for the team.
  • General Support: Perform other HR and administrative duties as assigned by leadership to support the overall health of the organization.

What You Bring

  • At least 2-3 years of HRBP, labor relations or employee or client and customer relations experience; ideally in the BPO industry
  • Candidates must possess a bachelor's/college degree in Human Resources Management, Psychology, Behavioral Science, or equivalent.
  • Proficient in Microsoft Excel, Word, and Google Workspace apps.
  • Can easily adapt and understand different HR systems applicable for the job.
  • Good time management, multitasking, and organizational skills.
  • Excellent communication skills, both written and oral.
