HR GENERALIST
Job Description
The HR Generalist is responsible for managing and overseeing the human resource and administrative operations of the company with approximately 1525 employees, including OJT students or trainees. The position handles recruitment, employee relations, disciplinary procedures, HR documentation, utilization of hiring platforms such as Bossjob, petty cash monitoring, payroll coordination, and compliance with Philippine labor laws and company policies. The HR Generalist also coordinates directly with schools, universities, and educational institutions regarding OJT deployment, trainee monitoring, and documentation requirements.
Duties and Responsibilities
- Recruitment and Staffing
- Handle end-to-end recruitment process for company manpower requirements.
- Utilize recruitment platforms such as Bossjob and other hiring portals.
- Coordinate with department heads regarding staffing needs and manpower requests.
- Monitor recruitment lead time and applicant status.
- Prepare job postings, interview schedules, and recruitment reports.
- OJT / Trainee Coordination
- Coordinate with schools, colleges, and universities regarding deployment of OJT students and trainees.
- Process and monitor trainee requirements, endorsement letters, MOA, and evaluation forms.
- Monitor attendance, behavior, and performance of OJT students.
- Coordinate with supervisors regarding trainee assignments and evaluations.
- Ensure trainees comply with company policies and workplace rules.
- Employee Relations and Disciplinary Procedures
- Handle employee concerns, grievances, and workplace issues professionally.
- Prepare and process:
- Memorandums
- Notice to Explain (NTE)
- Incident Reports
- Return-to-Work Orders
- Suspension Notices
- Administrative Hearing Notices
- Ensure disciplinary procedures comply with DOLE and Philippine labor regulations.
- Documentation and HR Administration
- Maintain and update employee 201 files and confidential HR records.
- Prepare employment contracts, onboarding documents, and HR correspondence.
- Ensure proper documentation and filing of HR transactions.
- Monitor employee records, clearances, resignations, and turnover documents.
- Attendance, Payroll, and Monitoring
- Monitor attendance, tardiness, absences, overtime, and leave applications.
- Prepare attendance summaries for payroll processing.
- Coordinate attendance discrepancies with employees and supervisors.
- Petty Cash and Administrative Functions
- Monitor and liquidate HR/Admin petty cash expenses.
- Maintain receipts, liquidation reports, and expense documentation.
- Coordinate office supplies, administrative purchases, and operational concerns.
- Government Compliance and Benefits
- Process and monitor:
- SSS
- PhilHealth
- Pag-IBIG
- BIR requirements
- Assist in permit applications and company compliance requirements.
- Ensure compliance with labor laws and company policies.
- Policy Implementation and Performance Monitoring
- Assist management in implementing company policies and procedures.
- Monitor employee and trainee compliance with company rules.
- Coordinate employee evaluations and performance monitoring.
